About GP Bookings

What Is GP Bookings and What Problem Does It Solve?

Managing appointments, reservations or rentals through a standalone form gets complicated fast: you need to track availability, avoid double bookings, notify customers and keep everything synced with a real calendar. GP Bookings turns Gravity Forms into a complete booking system, so that every form entry is automatically converted into a manageable booking, with its own availability, capacity and price. It works just as well for a quick fifteen-minute appointment as for a weekend cabin rental.

How a Booking Is Structured in GP Bookings

The plugin builds each booking out of a few combinable elements, letting you adapt the system to almost any type of business without touching code. A service defines what is being booked (a consultation, a haircut, a yoga class). Optionally, that service can be linked to one or more resources — people, rooms, vehicles, equipment or cabins — which can either share the service's configuration or have their own availability and pricing.

ServiceWhat the customer books (appointment, class, rental, session)
ResourceWho or what delivers the service: staff, room, vehicle, equipment
AvailabilityTime slots when the service or resource can be booked
CapacityNumber of simultaneous bookings allowed
OccupancyPeople, animals or units included in a single booking
PricingPricing rules based on service, resource or other conditions

Multi-Calendar Admin Dashboard

Once bookings come in, they're managed from a dashboard right inside WordPress, without ever leaving the admin area. The dashboard offers several views to fit each business's workflow:

  • Overview: a general look at upcoming booking activity.
  • Calendar: all bookings organized by date and time.
  • Calendar by resource: bookings grouped by assigned resource.
  • Agenda: a chronological list of upcoming bookings.
  • List: a table view built for bulk management.

From any of these views you can approve, reject, reschedule, cancel or mark a booking as completed, as well as apply filters and custom colors to tell services and resources apart at a glance.

External Sync and Self-Service for Users

GP Bookings keeps a two-way sync with external calendars like Google Calendar: changes made in WordPress show up outside it, and changes made outside show up in the dashboard. This saves you from manually updating two separate systems. On top of that, management can be delegated: staff can manage their own schedules and services within WordPress, while customers can reschedule or cancel their own bookings up to a configurable deadline, without the admin needing to step in. Automatic email notifications — confirmations, reminders and cancellation notices — are triggered based on each booking's status. Since bookings are submitted through Gravity Forms, charging for them can be done with any of the payment gateway add-ons compatible with the form.

GP Bookings FAQ

Can bookings be charged for?

Yes. Since bookings are created from Gravity Forms entries, payment is handled through any of the payment gateways compatible with the form.

What's the difference between ICS sync and the Google Calendar integration?

ICS sync is read-only or export-only to external calendars, while the direct Google Calendar integration allows two-way sync: changes are reflected in both directions.

Is booking information publicly visible when synced to an external calendar?

The level of detail exported to the external calendar is configurable, so you can limit what's visible to protect customer data.

Can customers reschedule or cancel their own booking?

Yes, as long as that option is enabled in the plugin or specific service settings, and within whatever deadline is configured.
