About Gravity Flow WordPress Plugin

For anyone who approves requests and keeps asking «who has it now?»

A vacation request, an invoice waiting for validation or a new employee onboarding often travels between emails, spreadsheets and paper. The work itself takes little; what eats up the days is the wait between one person and the next, and nobody knowing whose desk the matter is stuck on. Gravity Flow turns those circuits into workflows that follow each form submission until it is closed.

It suits you if:

  • you already use Gravity Forms or are willing to: Gravity Flow works on top of it and does not work on its own;
  • your processes start in a form (hiring, onboarding, invoices, leave requests);
  • you manage the site yourself, or someone on your team is up for designing workflows from the dashboard.

It is not for you if you want a project manager with boards and chat, or if your process does not start from a web form. It is also not a cloud service: it lives inside your WordPress.

From request to closure: approve, reject, send back, reassign

Gravity Flow offers more than 40 action steps, including approvals, rejections, reverts to a previous step and assignments, which can be combined with conditional logic.

The reports let you review how your processes perform and find the bottlenecks.

Many form-based administrative processes can be solved with what comes out of the box. A very particular case may need some code.

Your people's data stays on your server

Whoever fills in a form hands you data, sometimes sensitive: absences, payroll, records. With Gravity Flow it is processed on your own server, not on an external provider's. You can add a step to a workflow to delete data once it is no longer needed.

That helps you stay in control, but whatever data protection regulations apply to you remain your responsibility: the plugin does not comply with them for you.

Growing without counting users or processes

Many cloud automation tools charge per user or per workflow, so what works well today stops working well when the company grows. Gravity Flow sets no cap on users or processes.

Stripe, PDF or WooCommerce: pieces sold apart from Gravity Flow

For other needs there are extensions that are bought separately, such as those for WooCommerce, Stripe, PayPal, PDF generation, parent-child forms, folders, checklists, flowcharts, incoming webhooks or vacation requests. If your process depends on one of them, count it as part of the project and not as something included.

Questions before building your first workflow

Do I need Gravity Forms?

Yes. Gravity Flow is a layer on top of Gravity Forms and without it there is nothing to process.

Can I build a workflow without coding?

For most form processes, yes. Only very special cases call for code.

Can I see it working first?

Yes, there is a demo. Use it to check whether the approval path looks like yours.

Does it work for processes that do not start in a form?

That is not its territory. If the origin is not a form submission, another tool will fit better.
