About GravityEdit

You fix the email in the entry and the CRM may keep the old one

Someone mistyped their email on a form. You spot it, open the entry, fix it and save. The Gravity Forms database now has the right value, but if that entry was sent to a CRM or a mailing list, the old one may still be there.

Correcting an entry and processing it again are two different jobs. GravityEdit, by GravityKit, handles the first one: it lets you edit values directly in the list, without a page reload and without opening entries one at a time. The second stays off on purpose, because updating 10 fields on 10 entries could end in 100 emails.

It is up to you to decide in advance which forms should notify another system after a correction.

Editing in the entries list and in your Views

  • Cell by cell: editable values appear underlined. You click, change the content in the edit box and press Update.
  • Whole column: one click on the header makes every value in that column editable.
  • Validated updates: changes go through validation to keep data clean.
  • Metadata: entry data such as the date, the creating user and the transaction status can also be edited.
  • On the site with GravityView: editing reaches public or internal directories, in every View layout, including DataTables. A team with no access to the WordPress dashboard can maintain the data this way.

Which fields can be touched

It supports all Gravity Forms standard fields: single line text, paragraph including rich text, drop down, number, checkboxes, radio buttons and hidden. Among the advanced ones it covers name, date, time, phone, address, website, email, list with multiple columns and single or multiple file uploads. It also supports user-defined price, entry creator, entry creation date and source URL.

Left out are HTML, Page and Section fields, which hold no value, along with CAPTCHA, product fields other than user-defined price, Chained Selects and post fields such as title, excerpt, tags and categories. Post body is only supported with the rich editor.

One detail worth knowing before a bulk edit: in date columns, the change is saved only if the field uses the Date Picker type. With Date Field or Date Drop Down the screen reports success, but the new value is lost on reload.

An inline correction fires no notices or hooks

Inline edits send no notifications and suppress the usual Gravity Forms update hooks, such as gform_post_update_entry. Getting them back takes code:

  • Hooks: set the gravityview-inline-edit/remove-gf-update-hooks filter to false.
  • Feeds: run them from the gravityview-inline-edit/entry-updated filter.
  • Notifications: a code snippet that only triggers those set to the "Form is submitted" event.

To keep a history, GravityEdit can save revisions if GravityRevisions is active and the Save Revisions option is on.

Turning it on for a form and a View

It needs Gravity Forms installed, and GravityView if you want to edit on the public side. For the entries list:

  1. Open the form settings and check "Enable Inline Edit" under Form Options. Save.
  2. Go to Entries and press "Toggle Inline Edit" at the top right.
  3. From the gear icon, add the fields you want to see to Active Columns, since only the first few are shown at the start.
  4. For a View, check "Enable Inline Edit" in View Settings and update it. An edit link will appear above the listing.

In a View you can disable editing field by field from its advanced settings. That option is not available on the Entries screen.

The neighboring pieces of the GravityKit kit

If your task is changing many entries at once or emailing them, GravityActions is built for that. For showing entries on the site there is GravityView.

Inline editing questions

Is an email sent when a change is saved?

Not by default. Sending one requires adding a code snippet.

Can I leave editing always on?

Yes, it can be turned on by default so you do not press "Toggle Inline Edit" each time.
