About GravityView DataTables Extension

The Monday spreadsheet is a sign that a screen is missing

Someone asks you for the week's applications. You go into Gravity Forms, export, clean up columns and email it. On Tuesday three more arrive, and the file no longer tells the truth. On Friday they ask for it filtered by office.

That job looks like a reporting task, but often it is not: the person asking for the file usually wants to sort, filter and search, and the spreadsheet is the only thing you have given them to do it with. The DataTables layout for GravityView puts form entries in a live table, on a page of the site, where that person answers their question without going through you.

A table you consult instead of requesting

  • Sorting and search over the entries, from the table itself.
  • Per-column filter: a box under each column, and several can be used at once. You choose which ones or, if you choose none, they appear on all searchable columns.
  • Automatic updates without reloading the page, every set number of minutes.
  • Export from the table: copy, CSV, Excel, PDF and print, plus a button to choose which columns are visible.
  • Wide tables: Responsive, Scroller, FixedHeader and FixedColumns, and columns pinned field by field.
  • Languages: the DataTables translations, 60 languages, work directly.

Ajax or preloaded: the decision that changes everything else

Ajax, the default mode, asks the site for one page of entries at a time, and each sort, search or page change makes another request. Preloaded puts every entry in the page on load: the first load takes longer and then the browser handles the rest.

Large Views call for Ajax, because preloading slows the page and makes the table sluggish. Exports have a row cap that a developer can change with a filter, so test them with your real volume before promising them.

What both do export is whatever matches the current search, filters and sorting, including entries on other pages of the table. Columns hidden by the visitor stay out of the file.

Four warnings before sharing the link

It does not work alone. It is a GravityView layout, and GravityView displays Gravity Forms entries. Without those two there is nothing to put in the table.

Responsive and FixedHeader can clash. Turned on together, the headers may misalign; if they do, switch one off. Responsive also hides columns from the right when they do not fit, so the same View shows different columns on a phone and on a large screen.

Automatic updates consume resources. Each open page requests the entries once per interval for as long as it stays open. On busy pages a long interval is advisable.

The table shows whatever the View allows. Before publishing it, check who reaches that page and which fields it shows, especially if the forms store personal data.

Setting up the first View with a live table

You need WordPress with Gravity Forms and GravityView, and a form with entries. Then:

  1. Install the layout from the GravityKit menu, under "Manage Your Kit", in the layouts section.
  2. Create a View, choose DataTables and add the fields.
  3. Open the DataTables tab in the View settings.
  4. Choose the mode: Ajax if there are many entries.
  5. Turn on the buttons you want to offer. A new View comes with copy, CSV and print.
  6. Test the table on a phone before giving the link to anyone.

Pieces that pair with the table, and another route

The base is GravityView, which displays entries on the public side. To limit each table to what belongs to whoever is looking, Advanced Filtering can show only the entries created by the logged-in user.

If the question is better answered with a picture, GravityCharts turns entries into charts. And if you already use wpDataTables, its Gravity Forms integration displays and manages entries as tables of that plugin, without GravityView.

Filters, interval and exports, cleared up

Can visitors filter by a column?

Yes, with field filters, which place a box under each column.

How often does it update?

You set the interval in minutes. The default is 5 and the minimum is 1.

Does it export only what is on screen?

No. It works from what matches the current search, filters and sorting, with a row cap.
