About PMPRO Approval Addon
When you don't want just anyone to get in
Open registration works for a recipe blog, but not for a professional community, an association or a private group. If someone signs up, pays and gets in without anyone reviewing them, you end up removing after the fact people who should never have been there. PMPRO Approval Addon adds a pre-screening step to Paid Memberships Pro: the member signs up and a reviewer decides whether they stay.
A human review attached to every signup
What almost nobody thinks through in a group with admission is the order of the steps: if you charge before deciding, you will have to refund money; if you decide before charging, you need two steps. This plugin lets you choose either path from each level's settings, in the "Requires Approval" section:
- Direct approval: the administrator must approve new members of that level.
- Approval from another level: the user needs an approved membership in an "application level" to be able to complete checkout for the main level.
- Both at once: they must first be approved in the application level and then also approved by a reviewer in the main level.
While the application is pending, the member cannot access exclusive content. Once approved, they get access to everything included in the chosen level.
How to set it up depending on your type of community
If you want to charge a fee for reviewing the application
Create an application level with an initial fee and leave the full recurring fee for the main level, which only approved applicants can reach. That way the effort of reviewing applications isn't free.
If you prefer free signup and a manual decision
Mark the level as "Admin must approve". The member signs up, is charged according to the level's settings at the time of purchase, and you decide afterwards. Think this case through: payment has already been made before the review.
If the team that reviews is not the one that administers the site
Besides the administrator, the Membership Manager and the new approver roles can approve or deny, so the decision can fall to whoever knows the candidates without giving them full access to the site.
The approvals panel, application by application
In Memberships > Approvals you will see a list with filters by level and by status (pending, approved or denied), colored badges and pagination. From each row you can approve or deny with one click. If you make a mistake, open the application and click "Reset Approval".
The individual view shows the requested level, the approval status (with date and who acted), the custom user fields and, if you use the PMPro Email Confirmation add-on, whether the email is confirmed. Each member's profile also has a history with every decision: level, reviewer and date. Useful when several people review and doubts arise later about who decided what.
Five editable emails are sent, managed from the email template settings: a notice to the administrator of a new application (with links to approve or deny), confirmations to the administrator of approved or denied, and messages to the applicant of approved or denied.
Rejecting doesn't refund the money
If you deny an application, the plugin does not refund the initial payment or cancel the recurring subscription. You, or whoever has the right role, will have to do it from the Edit Member memberships panel. With an application fee or a direct-payment signup, that is manual work you must take on. It also doesn't work on its own: it needs Paid Memberships Pro installed and active.
Questions before setting up admission by application
Can I require approval on only some levels?
Yes. The setting is defined level by level, so other levels can stay open.
What does the member see while waiting?
They receive emails about the status of their application, but cannot access exclusive content until it is approved.
Can a decision be reversed?
Yes, from the application view with the "Reset Approval" button.
Are rejected applicants refunded automatically?
No. You have to cancel the subscription or refund the payment manually.
