About Sugar Calendar - Zapier

Copying emails by hand between tools doesn't scale

Every event registration ends the same way: someone copies the email into Mailchimp, pastes the details into a spreadsheet and warns the team by chat. With ten events you can manage; with a hundred, contacts get lost and follow-ups are forgotten. Sugar Calendar - Zapier connects the events calendar with Zapier so those tasks run on their own.

People who organize events usually have their information spread across four places (calendar, mailing list, CRM and project manager) and none of them knows what happens in the others.

What Sugar Calendar can trigger in Zapier

The add-on exposes these triggers, which are the starting point of every automation:

  • New event created
  • New ticket order
  • New attendee added
  • Event cancelled or deleted
  • Before an event starts

From there you choose the action in any Zapier-compatible app: Gmail, Google Sheets, Mailchimp, Slack, HubSpot, Salesforce, Trello, Asana, Airtable and many more. A single trigger can launch several actions in a row, for example adding the buyer to a Mailchimp segment, creating a lead in Salesforce and alerting the team on Slack.

What to automate depending on how you work

If you sell tickets

When an order comes in, you can register the buyer in your CRM, subscribe them to your mailing list, send a thank-you email or log the sale in a sheet to track figures.

If you manage registrations or RSVPs

Each new attendee can create a row in Google Sheets, join a segmented list or receive a personalized confirmation, without you opening the dashboard.

If you coordinate a team

A new or cancelled event can notify Slack, Microsoft Teams or Discord.

If you come from other calendars

You can create workflows that add to Sugar Calendar the events created in Outlook or other calendar apps. If you only use one Google calendar, you don't need Zapier: the Google Calendar sync already connects it directly in both directions.

It needs a Zapier account

This add-on doesn't work on its own. You need your own Zapier account. Zapier has a free plan with basic automations and paid plans with advanced features. Speed depends on that plan: workflows usually run within a few minutes, and paid plans update more often. If your process is urgent, keep that in mind.

Nor is it a replacement for the event features: it doesn't create tickets, forms or calendars, it only moves the data Sugar Calendar already generates to other tools.

Frequently asked questions about Sugar Calendar - Zapier

Do I need to know how to code?

No. Zapier's visual builder is based on choosing a trigger and an action.

Can I chain several actions?

Yes, a single trigger can activate several actions in different apps.

Which apps can I connect?

Any app available on Zapier, which is over 8,000.

Is it useful for importing events?

Yes, you can create workflows that add to Sugar Calendar events created in Outlook or other calendars.

Is it instant?

Not always. It depends on the Zapier plan: it generally takes a few minutes.

When it pays off and when it's overkill

It pays off if you already use several tools and repeat the same tasks by hand after every registration or sale. It's overkill if you only run a few events a year and don't move data outside WordPress.
