About Tickera Check-in Notifications

When attendees walk through the door, they already have their phone in hand

At an event entrance the same questions come up every time: where is the bar, what time does the headliner go on, what is the wifi password. Staff answer them a hundred times and part of the crowd still gets lost. The emails you sent the week before are already buried; the one that arrives the moment the ticket is scanned is the one that gets read, because it answers what the person needs right then.

Tickera Check-in Notifications is a Tickera add-on that sends an automatic email as soon as a ticket's check-in is registered. You write the message once; the scan does the rest.

Tickera Check-in Notifications: what it sends, to whom and what it depends on

  • Recipient per event: the attendee, the buyer or both. If someone bought six tickets for six people with Custom Forms, you can write to all six separately.
  • Your own subject and HTML body, with tags for the attendee name, the event and the ticket, such as {attendee_name}, {event_title} or {ticket_id}. The current list of tags is in the add-on documentation.
  • Compatible with the Checkinera app and the Tickera web scanner, plus the Bridge for WooCommerce check-in flow. The trigger is the check-in, not the device that records it.

Now what you should know: it is an add-on, so it does not work without Tickera. The email goes out through wp_mail(), so whether it arrives depends on how your WordPress mail is configured (SMTP, SendGrid, Mailgun, Postmark or Amazon SES with a plugin like WP Mail SMTP). If your hosting sends mail poorly, the attendee will get it late or not at all. It is also not a second delivery of the ticket, which already went out at purchase: this email is short, a greeting, a map, a thank-you. And only the scan triggers it; it is not a reminder scheduler.

Common questions before setting up the door email

Does it work with the scanner built into Tickera?

Yes. A check-in made from the web scanner in the Tickera admin triggers the notification just like a scan with the Checkinera app.

Can I include the QR code or a PDF?

The buyer already received the ticket. You can attach files with standard WP mail attachments, but the intended use is a short message that is read at a glance.

What email service does it use?

Whichever your WordPress is configured with. It travels through the same channel as your order confirmations.

Can I personalize it?

Yes: you can include attendee, event and ticket details in the message body.

Six emails worth sending right at the door

What makes sense to send at that moment is what the attendee will use in the next few minutes:

  • A welcome with the door closing time, the headliner and the wifi password.
  • A map link: a Google Maps pin, a PDF or an interactive seating chart.
  • A schedule reminder, with the room and floor of the activity.
  • A drink or merchandise voucher with a one-time code.
  • A sponsor message with their banner, arriving when the person is on the premises.
  • A thank-you note with a feedback link or a discount for the next event.

Write the email once and test it with your own ticket

Write the subject and body in the add-on settings, choose the recipient for each event and do a test check-in with one of your own tickets before the doors open. Check on your phone how long it takes to arrive, whether the tags fill in correctly and whether the map or voucher displays properly. If the test arrives late, check your WordPress mail configuration before blaming the add-on itself.
