About User Role Editor Pro

For people who hand over sites to clients with teams, not for those who just want to change one permission

Permission problems usually start the same way: someone needs to publish or manage content, nobody wants to work out which capability is required, and they get the administrator role "for now". Months later, a writer has access to plugins, menus and settings they should never have touched, and the risk is not a hacker but a wrong click from someone on the team.

User Role Editor Pro fits those who build sites with several user profiles (agencies, freelancers, people in charge of a newsroom or a store) and want to decide, role by role, what is visible and what can be done. If you only need to edit the capabilities of a role or create a new one, the plugin has a free version for that; the Pro version pays off when you want to block specific parts of the dashboard or the content.

It is not a membership or user registration plugin either. And several restrictions are for specific cases: the Gravity Forms one is only useful if you use that plugin.

User Role Editor Pro: a shorter dashboard for each role

Removing permissions is not enough if the menu is still full of options that scare non-technical users. With the Pro version you can trim the dashboard by role:

  • Admin menu: block the items that role should not see.
  • Navigation menus: prevent a role from editing them.
  • Widgets and sidebars under the Appearance menu, also by role.
  • Meta boxes on the dashboard, posts, pages and custom post types.
  • Access to other roles: a role can be left without access to the other roles.
  • Plugins: per-plugin access for roles and users who have the capability to activate plugins.

You also decide who sees a front end menu item: everyone, logged-in users, users with certain roles, or only visitors who are not logged in. And if you ever don't know which capability is missing, the admin pages permissions viewer shows at the bottom of each screen the capabilities that page checks.

Let each person touch only their own posts, categories or forms

On a site with several authors, the permission to edit posts is usually too broad. Here you can narrow it down:

  • Restrict editing to specific posts or pages by ID, to categories or taxonomies, or to those of one author.
  • Limit access to Gravity Forms by a list of forms.
  • Hide content from certain roles using shortcodes.
  • Make each custom post type use its own capabilities (for example, edit_videos instead of edit_posts).
  • Activate the create capability, so a user can edit existing content without publishing new content.

Be aware, though, that forcing custom capabilities on post types changes how permissions are distributed: check it on a test copy before applying it to a live site.

Multisite: roles for the whole network from a single point

If you manage a network, repeating roles site by site is a source of mistakes. From the network admin you can edit roles, replicate them to all subsites, assign roles and capabilities, and copy a user with their permissions to all sites. The superadmin can also limit what each site's administrators can do inside the plugin (available permissions, creating or deleting roles) and define which themes each one can activate.

Questions before installing User Role Editor Pro

Can I give a capability to a single user without creating a role?

Yes. You can assign roles or capabilities directly to a user, without creating a role just for them.

Can I take my roles to another site?

Yes, the Pro version lets you export and import roles, which is useful if you repeat the same setup across several projects.

Is it useful for locking content from non-subscribers?

Only partly: you can restrict content viewing by role with shortcodes, but it is not a membership system, with no payments or registration.
