About WooCommerce Purchase Order Gateway
A corporate customer often can't pay by card because their purchasing department won't allow it: they need a purchase order number, an invoice and a payment term. If your store only offers immediate payment, that order is lost or ends up in an email, a spreadsheet and a lot of confusion.
If you sell to businesses on purchase orders, not to individuals paying by card
WooCommerce Purchase Order Gateway suits stores that sell to businesses, schools, government bodies or other organizations with strict purchasing policies, including wholesalers. These buyers order against a purchase order and settle later, by invoice or under an account arrangement.
It isn't for you if you need to collect payment at checkout. The plugin doesn't process cards or capture funds: it records the order and you collect payment through your usual process outside the store. If you mostly sell to end consumers, you need an online payment gateway. Many B2B stores combine both: purchase orders for approved accounts and card payments for everyone else.
You issue the number, outside the store
The plugin adds a field at checkout where the customer types the purchase order number. That number isn't generated automatically: you issue it with your own management system, usually as part of a contract or manual agreement, and give it to the customer before they buy.
This means the store doesn't decide who can buy on credit. If you don't want any visitor to pick this method, you'll have to control who you give numbers to and review each order before treating it as good.
What happens to an order from the moment it arrives until you close it
- The customer picks the Purchase Order method at checkout and enters their number.
- The order is set to on hold.
- You confirm the order, invoice and collect payment your own way.
- Once it is settled, you mark the order as complete by hand.
That on-hold status keeps orders awaiting settlement separate from those ready to ship. Note that nothing changes on its own, so if you forget to complete the order, it stays on hold.
Where you see the number to reconcile with your billing
The purchase order number appears in the order information in the admin and also on the invoice. This gives your team a shared reference to match online orders with your offline billing records, and it reduces the back-and-forth over which payment belongs to which order.
WooCommerce Purchase Order Gateway settings: few, but enough
It needs no prior configuration. After activating it, you enable the method in the WooCommerce settings and can set the title, the description and an optional thank-you note the customer will see. It is compatible with the cart and checkout blocks and with high-performance order storage (HPOS).
With WooCommerce Subscriptions it works with one condition: the field appears on subscription products only if you have manual renewals enabled. Without them, the field isn't shown. It fits B2B subscribers who renew against a purchase order rather than an automatic card charge.
