About WooCommerce Xero
Every store order, typed by hand into your accounting
When an online store starts receiving orders every day, someone ends up copying amounts, shipping and taxes from WooCommerce into the accounts, and the mistakes show up right when the quarter closes. WooCommerce Xero is built for that moment: it sends each order to your Xero account as an invoice, with no retyping.
The problem with store accounting is rarely the invoice itself, but what comes after: payments through several channels, customers that multiply and tax rules that change. It is worth deciding on that before automating anything.
What WooCommerce Xero sends in each invoice
Once the connection is set up, each order in your store is securely sent to Xero and creates an invoice with the product, shipping, discount and tax data. When the order is paid, the payment is applied to the matching invoice so the books balance.
- Discounts: carried over with the order.
- Taxes: the plugin creates new rates in Xero.
- Customers: one contact is created per customer, and returning customers are recognised by email.
All payments go to the same bank account
This is the limit most often mentioned by people who have used it. Payments marked as paid are recorded in a single Xero account, so if you get paid through PayPal, bank transfer and card, you cannot assign each method to its own account. Your accountant will have to reassign them afterwards. Here is what the plugin solves and what you will have to cover yourself:
- Solved: automatic invoice per order, with shipping, discount and taxes.
- Solved: applying the payment to the order's invoice.
- By hand or with another tool: separating payments by bank account according to payment method.
- By hand or with another tool: emailing the invoice to the customer as an attachment from Xero; some people switched to Zapier for this.
- By hand in Xero: merging or deleting contacts when many customers pile up.
Stores with many small customers: watch the contacts
The plugin stores customer data in Xero. One review says Xero warned that it cannot handle thousands of different customers and that the plugin offers no way to merge or delete them. If you sell few high-value items, it is a minor issue. If you get dozens of orders a day from different customers, plan how to maintain that list. Also, if you keep personal data in an external system, ask your advisor how to handle its retention and deletion.
VAT and EU sales with WooCommerce Xero
The plugin generates the tax rates it needs in Xero. For EU sales under the OSS scheme, one user reported that it only recognises those rates if they have MOSS in the name, and that the plugin has not been adapted to the change of name. If you sell to several European countries, place test orders and check with your accountant how the taxes end up in Xero.
Frequently asked questions
Does it work if I don't have a Xero account?
No. It is a connector: you need your own Xero account, which is where the invoices are created.
Does it work with the block editor for cart and checkout?
Yes, it is listed as compatible with the cart and checkout blocks.
Is it compatible with high-performance order storage (HPOS)?
Yes, it is listed as compatible.
Does a returning customer create a new contact?
It should reuse the contact, since customers are recognised by email. If duplicates appear, check the setting to use the email in the contact name under WooCommerce > Xero, because changing it after orders have already synced can create contacts with different names.
Does it work in any country?
It is listed for worldwide use, but each country has its own tax rules, so test with real orders.
