The slot booked twice and the client who never shows
These are the two problems of any appointment business, and both cost money directly. The first happens when the diary lives in two places at once: the practitioner's calendar and the website. The second happens always, and in hairdressing, physiotherapy or consulting it takes between ten and twenty per cent of the hours.
Amelia is a booking system for WordPress built around those two problems.
How the diary is organised
- Services, categories and extras, each with its price, duration and capacity.
- Several practitioners, each with their hours, their days off and the services they provide.
- Special days, for August hours or the shorter Friday.
- Recurring appointments, daily, weekly, monthly or yearly, for the client who always comes.
- Events, with their own public calendar, for classes, workshops and group sessions.
The synchronisation, which is what prevents the double slot
Amelia syncs both ways with Google Calendar, and it does so per practitioner. That means an appointment created on the website blocks the slot in the practitioner's personal calendar, and a meeting entered by hand in their calendar blocks the slot on the website.
The small print: each practitioner has to connect their account. If one does not, synchronisation does not exist for them and we are back to the original problem. Worth sorting on day one, with the whole team, rather than letting it drift.
Payment and notifications
It takes payment through WooCommerce, Stripe or PayPal, and also allows recording payment in person. It sends notifications and reminders by email and by SMS, to both the client and the practitioner.
Two notes. SMS is a third-party service billed per message, so it has to be budgeted separately. And on no-shows: reminders help, but what genuinely reduces them is charging up front, even a small deposit. That is a business decision rather than a configuration one, but the plugin lets you make it.
