About BookingPress Outlook Calendar Addon

Two calendars for the same person end in double bookings

People who take appointments rarely have a single calendar: meetings, calls and personal commitments live in Outlook, while customer bookings live in the plugin. As long as the two don't talk to each other, someone has to copy every appointment by hand, and sooner or later two of them collide. BookingPress Outlook Calendar Addon connects each staff member's Outlook calendar with the bookings that come in through your website.

It is an add-on, so it doesn't work on its own: it needs the paid version of BookingPress. It is designed for teams where each person already works with an Outlook calendar and has services assigned.

From the booking on your website to the event in Outlook, step by step

Imagine a customer books a service assigned to one of your professionals. Here is what happens and what you need to know at each point:

  • The customer books on your website. They choose a service and a time as usual, without knowing anything about Outlook.
  • The appointment appears in the professional's Outlook calendar. An event is created with the title, description and location you have configured, so there is nothing to retype and no need to notify anyone through another channel.
  • Their schedule is marked as busy. The slots when that person is already busy in Outlook are not offered for booking on the website, which is exactly what prevents double bookings.
  • You change something from BookingPress. If the administrator modifies the appointment, the Outlook event is updated too.
  • The professional changes something from Outlook. Here the direction stops: whatever is modified in Outlook does not go back to BookingPress.

That is why it is worth setting a simple rule for the team: cancelling, deleting or rescheduling booked appointments is always done from BookingPress. If someone deletes the event in Outlook, BookingPress will still show the appointment as valid and the customer will still be expecting it.

Services with more than one spot: the location only remembers the last appointment

If a service admits several people at the same time (for example, a class or a group session), the Outlook event only stores the location data of the last appointment booked, rescheduled or updated. If the location changes depending on the customer, don't count on the event reflecting all of them. For one-to-one services with a single spot you won't have this problem.

Common questions before connecting Outlook

Can I use it with the free version of BookingPress?

No. It is an add-on for the paid version and needs BookingPress installed and active.

What happens if a professional moves the appointment from Outlook?

The change stays in Outlook. BookingPress does not receive it, so the original booking will remain valid on your website.

Can I cancel an appointment from Outlook?

No. Cancelling, deleting or rescheduling is done from BookingPress, and the calendar is updated from there.

What data does the created event contain?

The event title, description and location you have configured. Check in the demo how they look before going live.

It fits if Outlook rules your team's schedule

It pays off when your professionals already live in Outlook and you want website bookings to respect their real availability. It falls short if you expect two-way syncing, where whatever is edited in Outlook also changes in BookingPress.
