About Gravity Perks Inventory

Selling places that don't exist is the costliest mistake an order form can make

If you sell tickets, t-shirt sizes or workshop places with a Gravity Forms form, sooner or later someone orders more than you have. Without stock control, you find out when reviewing orders, and you have to write to a customer to tell them their place doesn't exist. Gravity Perks Inventory puts the limit inside the form itself, so the available quantity is deducted with every order.

Simple inventory: one limit per product or per choice

In a Product field you enter how many units there are, and each order subtracts the requested quantity. When it runs out, you can hide the form or the Product field. In choice-based fields (radio buttons, checkboxes, drop downs and multi selects, plus their Product equivalents) the limit is set for each choice.

  • T-shirts by size: a drop down with 10 XL, 20 L and 15 M, each with its own stock.
  • Conference with 50 seats: a single number that gets used up.

It is enabled from the field settings, in the Perks section, without leaving the form editor.

Advanced inventory with Resources: sharing and scoping by date

When stock doesn't fit in a single field, the advanced type works with Resources that you define in the Perks tab of the editor, with a name and an inventory level.

Shared inventory

One resource can feed several fields or several forms. It works for selling the same conference from different landing pages, or for adult and child tickets that come from the same pool of places.

Scoped inventory

By adding scopes to a resource, inventory is split according to other fields on the same form. If you group a Date field with the Product field, each day has its own capacity, as in a daily workshop. Dates with no availability can be blocked through the automatic integration with Limit Dates, another perk from the same family.

There is also an inventory dashboard to track stock, and you can show the remaining availability on the form.

What to decide before choosing Gravity Perks Inventory

It is an add-on for Gravity Forms: it doesn't work without it, and it is not a store or a complete booking system. It is for limiting quantities inside forms. If you need a catalog, product pages and your own cart, that is a different kind of tool. For developers, it offers filters to create dynamic limits.

Does it work with product orders and with bookings?

Yes, with both: products, tickets and bookable resources such as events, appointments or reservations, always inside a Gravity Forms form.

Can I share stock between forms?

Yes, with the advanced type: a resource can be used in fields across different forms.

Can I limit stock per day?

Yes, by grouping a Date field with the Product field through a scope. To prevent people from choosing sold-out dates, it relies on Limit Dates, which is a separate perk; check in the demo how the combination looks.

Is it easy to set up?

Simple inventory is configured in the field settings. Advanced requires understanding resources and scopes, so set aside some time if your case mixes dates, several forms and shared stock.
