About GravityExport Plugin

Every week someone asks you for the Excel of the entries

A form collects requests, registrations or donations, and the people who need that data (the client, the department head, the accountant) have no access to the WordPress dashboard. So they write to you, you log in, download the CSV, reformat it and send it back by email. And next week, the same again.

The bottleneck is almost never the form, but the person who holds the keys to the site. GravityExport takes that messenger role off your hands: it exports Gravity Forms entries to Excel, CSV, PDF or Google Sheets and delivers them to whoever needs them without having to log in to the admin area.

Secure links, synced sheets and scheduled deliveries with GravityExport

The value lies in how the data reaches each person:

  • Secure, shareable download link: they don't need an administrator account.
  • Google Sheets: you point a form at a spreadsheet (new, or picked from Google Drive) and it stays up to date when entries are added, edited or deleted, on each new entry, on a schedule or by webhook. Numbers, dates and currency arrive as real values, so you can sort, filter and build formulas without converting anything.
  • Scheduled delivery: files can go to Dropbox, Box, SFTP/FTP or a local folder every hour, day, week or 30 days.
  • Tailored reports: you choose the fields, apply conditional filters so each person sees only what applies to them, split complex data and control access by logged-in user or by role.
  • Extensible: it supports exports triggered by webhook, hooks and actions to customize templates and workflows, and PDFs with your own templates.

Its limits are worth knowing. It is a Gravity Forms add-on and does not work without it. It only exports entries: it does not import or edit them. And a PDF with your own design requires working with templates and overrides, which is closer to development than to a dashboard setting. Also, a shared link gives access to the data to anyone who has it, so treat it with the same care as a password.

Questions before installing GravityExport

Does the person receiving the report need a user account on the site? Not for the download link. If you prefer more control, you can limit access by logged-in user or by role.

Is there a cap on exports or schedules? Exports and schedules are unlimited across Excel (.xlsx), CSV, PDF and Google Sheets.

Can I export only some fields or some entries? Yes. You choose the fields and apply conditional logic to filter the entries.

Can I trigger an export from another tool? Yes, by webhook.

Does it bring data into Gravity Forms? No, it only takes data out. To import it you need a different tool.

Decide first who sees what, then schedule the report

The typical mistake is scheduling deliveries before deciding who should receive what. Make a short list: each recipient, the fields they actually need, the format they use (Excel for the accountant, Google Sheets for whoever works with formulas, PDF for whoever just reads) and how often they need it. With that, each report is set up once.

Then pick the destination: a link for a one-off request, Google Sheets if they want live data, or a cloud folder or SFTP server if the file should simply appear. Try the demo with a real form and check that the role filters leave out what should stay hidden before sharing anything.
