About Ninja Forms Scheduled Submissions Export

The weekly report someone builds by hand every Monday

Logging into WordPress, finding the form, exporting, downloading the CSV and forwarding it by email is a small task that repeats endlessly. With several sites or several clients, it becomes an obligation nobody remembers until someone asks for the data. Ninja Forms Scheduled Submissions Export removes it: it emails a CSV with a form's submissions every hour, day or week.

The person who receives the data is rarely the one who administers the site. It is a salesperson, a client or an operations team who shouldn't need a WordPress user to work with it.

How Ninja Forms Scheduled Submissions Export fits depending on who uses it

Agencies with several client sites

Each site has its own scheduled exports page, listing every active schedule, the form it belongs to and a direct link to edit it. You don't need to open form after form to remember what is sent and when.

Teams that receive leads or requests

A Monday-morning summary of the week's contacts, or an hourly CSV for forms with urgent submissions, saves someone from watching the dashboard.

Clients who want their data without WordPress access

They get a CSV attachment in their inbox. It opens in Excel, Google Sheets or any standard data tool, with no credentials handed over.

Anyone who needs a regular archive

If you must keep a record of submissions in a designated mailbox, scheduled exports create a regular trail with no manual work.

New entries only: why the file arrives already filtered

Each export contains only the submissions from that period: the past hour, the past 24 hours or the past seven days. The recipient doesn't get the full history on every send, so there is no need to compare with the previous file or remove rows already processed.

  • Frequency: hourly, daily or weekly.
  • Time and day: you can set the hour for daily exports, and the day and hour for weekly ones. This is configured in the global scheduled exports settings, and also per form.
  • Recipients: several addresses separated by commas in the To field.
  • Subject: customizable, to identify the form, the site or the period at a glance.
  • Multiple schedules per form: for example, an hourly one for operations and a weekly one for a client, each with its own recipients, subject and timing.

Delivery depends on WordPress cron

The add-on uses WordPress cron, which fires when someone loads a page on the site. On high-traffic sites the email goes out close to the scheduled time. On low-traffic sites it may be delayed until the next visit. If you need strict punctuality on a quiet site, keep this in mind.

It is also a Ninja Forms add-on: it doesn't work with other form plugins. It delivers CSV files by email; it doesn't build reports with charts or store them in another service.

Frequently asked questions

Can I send it to several people?

Yes. Type the addresses separated by commas and all of them receive the same CSV on the same schedule.

Will I receive the whole history on every send?

No. Only the submissions from that schedule's period arrive.

Can one form have more than one export?

Yes. Each schedule has its own recipients, subject and timing.

Does the recipient need WordPress access?

No. They receive the file attached to their email.

Can I see everything scheduled in one place?

Yes, on the site's scheduled exports page, with a direct link to edit each form.
