Each submission can trigger the workflows and approval processes you already have in Zoho, and each record counts as one more customer for those rules.

Ninja Forms Zoho CRM sends a form's data to Zoho CRM and creates records in one or several modules. Submissions trigger Zoho's workflow rules and approval processes, and the approval requirement can be set per form. What happens next depends on how you configured those rules in Zoho, not on the form.

Zoho modules and visual field mapping

• Modules: Contacts, Leads, Accounts, Potentials (Deals), Notes and Tasks, plus Sales Orders and Quotes.
• Several modules at once: one submission creates records in several modules, each with its own mapping.
• Automatic links: a new Contact is linked to the account, deal, task and note from the same submission; a Lead, to its note and task.
• Visual mapper: in the form builder, you drag form fields onto Zoho fields, standard or custom.
• Fixed values: for example, a Lead Source with the value "Web Form".
• Custom fields: picklists, dates, booleans and multi-select, each with its own format.
• Relative dates: accepts standard date formats or intervals such as "2 days" or "3 weeks" from the submission.
• Value formats: {multipicklist}, {replace_underscores}, {remove_nonnumeric}, {force_boolean}, {convert_date_interval} and {format_date}.

An inquiry that creates a lead, a task and a note

Suppose an inquiry form. You map the name and email to a Lead, set the source as "Web Form", send the visitor's message to a Note and create a Task whose due date is calculated with an interval such as "2 days" from the submission. If you have a workflow in Zoho that reacts to new leads, it will run with each submission. It is one possible setup; modify it to suit your case.

An OAuth connection and one command per region

You need a Zoho CRM account and a Self Client application created in Zoho's developer console. Authentication is OAuth 2.0: you paste the Client ID, the Client Secret and the authorization code into WordPress. If your Zoho account is not in the United States, the region is set with a command in the advanced commands field, which supports the EU, Australia, China and India endpoints.

• Among its functions there is no panel that decides for you which workflow should run: that is defined in Zoho.
• The Sales Orders and Quotes modules call for a premium Zoho CRM subscription.

The same commands field lets you list a module's fields, remove a module from the dropdown or create several records of the same module from one submission.

Connecting the form in five steps

1. Create a Self Client application in Zoho's developer console.
2. In WordPress, paste the Client ID, the Client Secret and the authorization code.
3. Add the Zoho CRM action to your form in the builder.
4. Choose the modules and map each field, with the fixed values and formats you need.
