The invoice is not the problem, the other six documents are
A shop starting out needs a PDF invoice attached to the order email, and the free plugin handles that. The problem arrives later: the first return needs a credit note, the first business customer asks for a proforma before paying, the accountant wants every invoice for a quarter in one file, and the warehouse wants somebody to tell them when an order comes in.
This extension is what gets added to the free WooCommerce invoices plugin when a shop reaches that point.
The documents it adds
- Credit notes, for returned or refunded orders.
- Proforma invoices, for the customer who needs the document before paying.
- Receipts, as proof of payment.
- Independent numbering for each document type, plus its own title and filename.
Bulk exports and archiving
Many PDFs can be exported at once, filtered by date, order status or customer, and pulled out as a ZIP file or uploaded straight to Dropbox, Google Drive or a server over FTP. The upload can be automatic when an order reaches a given status, which turns the accounting archive into something that happens by itself.
It also generates invoice summaries in bulk, which in practice is what gets handed to the accountant.
Internal notifications
It can send notification emails to whoever you choose (supplier, warehouse, accounts) when an order reaches a certain status, with or without the PDF attached. And it lets you attach up to three static files to the emails you pick, which is how terms of sale or a warranty get sent without touching templates.
What to be clear about
This is an extension, not the main plugin. Basic invoices and packing slips come from the free version, which has to be installed. If your shop only needs that, you already have it covered without buying anything.
And a broader warning: this generates documents, it does not do your accounting. Legal invoicing requirements vary greatly from one country to another, and several are already mandating certified invoicing systems or the reporting of data to the tax authority. Worth checking what yours requires before considering the matter settled.
