About EventOn RSVP Events Wishlist Addon

A cancellation at a full event need not leave an empty place

Your event fills its quota and you put up the sold-out sign. Whoever arrives late leaves. But if someone who confirmed cancels, that place frees up just when nobody is looking at it.

Every cancellation at a full event is a place that can fill again without your stepping in, because the system offers it to the next person on the list.

EventON RSVP Events Waitlist is an add-on for the EventON calendar that places guests on a waitlist when capacity is reached. Anyone on the list can see its size from the eventCard, the event's card on the calendar.

How the waiting works

  • Joining the list: once the event capacity is reached, guests join the waitlist from the eventCard.
  • Form notices: the RSVP form shows a new notice for anyone entering the list, and the RSVP confirmation includes notices specific to the list.
  • Automatic offer: when an attendee cancels, the system offers the place to the next person on the list.
  • Notifications: administrators and guests are notified when a place opens and when space is offered.

The waitlist settings are integrated into the RSVP box on the event edit screen, alongside the other settings. RSVP statistics also reflect the numbers on the list.

  • Special tag: waitlisted guests appear with their own tag on the event edit screen.
  • Moving guests: you can move a guest from the waitlist to the attendee list.
  • Email to the list: you can write only to those on the waitlist.

A full event with one cancellation, to test

A rehearsal you can set up: a test event with a capacity of two places, three test guests and one cancellation. It is your own combination and not a function described that way. Check what the waitlisted guest receives, what you see on the event screen and what happens if you want to move someone by hand. Do it before publishing an event with limited capacity.

Requirements and related add-ons

It needs the main EventON plugin and the RSVP Events add-on installed and active. Other add-ons for the same calendar combine with the waitlist: Invitees restricts the list to the invited guests of a private event, RSVP Points prioritizes waitlisted guests by their points, and Reminders notifies waitlisted guests that places are open.

Getting it running

  1. Install the add-on with the WordPress installer and activate it.
  2. Enable Waitlist in the EventON settings.
  3. On the event, set the capacity in the RSVP settings.
  4. Make a test booking over the full quota and check the notice the guest sees.

To complete the booking of places

The required base is EventON RSVP Events. For private events with a guest list, look at RSVP Invitees, and for notices and reminders, Reminders.
