About Gravity Forms Zoho CRM Addon
For teams already living in Zoho who want to stop copying leads by hand
A contact form that only emails a shared inbox has a problem: the lead depends on someone copying it into the CRM, and that step gets forgotten exactly when work piles up. Gravity Forms Zoho CRM Addon removes that step: what someone fills in on your site arrives in Zoho as a contact or a lead.
It suits a sales or marketing team that already works with Zoho CRM and uses (or plans to use) Gravity Forms to collect data. It does not suit you if you want a CRM inside WordPress, if your CRM is a different one, or if you need a form without Gravity Forms: this add-on does not work on its own, it extends that plugin and connects only to Zoho CRM.
What happens in Zoho when someone submits the form
Each submission can create a new contact or update an existing one with the latest data, so you don't pile up duplicate records with different versions of the same person. What you can do:
- Create contacts: form fields are mapped to the contact fields in Zoho, including custom keys.
- Update contacts: if the person already exists, their record is completed with the new information.
- Assign owner and source: each contact can arrive with its owner and source already set.
- Send attachments: files uploaded in the form travel to Zoho alongside the record.
Leads with rating, status and a follow-up task
Besides the contact, a submission can generate a sales lead linked to that contact. You define owner, rating, status and source, so the lead arrives classified instead of being one more row someone has to review.
You can also create a task linked to the contact or the lead, with subject, due date and owner. It is what keeps a hot lead from waiting two days because nobody knew it was their turn to call.
Conditions so your CRM doesn't fill up with noise
A CRM crowded with enquiries that aren't opportunities makes the team stop trusting it. With Gravity Forms conditional logic you can send data to Zoho only when specific criteria are met, for example when the person ticks a purchase intent or answers a qualifying field. Support requests or submissions you don't care about stay out.
Gravity Forms Zoho CRM Addon: what to be clear about before choosing it
- It needs Gravity Forms installed and your own Zoho CRM account.
- It is a direct integration, with no third-party connectors in between.
- It covers contacts, leads and tasks. If you expect to sync other Zoho modules, check in the Gravity Forms demo that the mapping you need exists.
- The flow goes from the form into Zoho: it is for capturing and updating data, not for displaying in WordPress what is in your CRM.
Frequently asked questions
Can I update a contact that already exists in Zoho?
Yes. The add-on can detect the existing contact and update it with the data from the latest submission.
Does it create the lead and the contact at the same time?
Yes. It can create the lead and link it to the corresponding contact.
Can I send only some forms or some submissions?
Yes, with Gravity Forms conditional logic you decide which submissions reach Zoho based on the values the person entered.
Does it work without Gravity Forms?
No. It is a Gravity Forms add-on and depends on it to collect the data.
Can I automatically assign an owner to the lead?
Yes. When creating contacts and leads you can set the owner, and also the source, status and rating of the lead.
