About GRAVITY PERKS FILE RENAMER
When files arrive as IMG_4032.jpg
Anyone who receives documents through a form knows the problem: résumés, contracts, invoices or photos that arrive named "scan(3).pdf" or "IMG_4032.jpg". Opening the Media Library or the uploads folder and having to guess whose file is whose wastes time, especially when several people upload the same name.
GRAVITY PERKS FILE RENAMER solves this by renaming each file when the form is submitted, following a template that you define.
A naming template for every upload field
The core idea: in a business that receives files, the filename is the first filing system you have, and almost nobody designs it. With File Renamer you design it once and it applies to every upload. In the Perks tab of an upload field you write the template, which mixes fixed text and merge tags.
- Submission data: you can include form fields, such as the first and last name of the person uploading the file, and the entry ID.
- {filename}: keeps the original name, useful for adding a prefix or a suffix (for example {filename}-reviewed).
- {i}: numbers the files by upload order, designed for multi-file fields.
- {dedup}: lets you decide where in the name the number is added when there are duplicates. It cannot be combined with {i}.
Folders per entry without touching the server
If you put a slash (/) in the template, a subfolder is created. With {entry_id}/{filename}, the files of each submission are grouped in a folder named after the entry ID.
It also works for search-engine-friendly image filenames, or for strict conventions that another person on the team will use later. It works in File Upload, Multi-file Upload and Post Image fields. It supports any language or character set in filenames.
Combinations with other Perks
- File Upload Pro: renaming works in those fields, and its sorting lets the person choose the order if you use {i}.
- Unique ID: you insert its merge tag in the template and the name carries a unique identifier or a sequential number, with no further setup.
- Media Library: files are renamed before they enter the WordPress Media Library, so they match your template.
For global rules there is a hook (gpfr_filename) that applies a template to all forms, to a specific one or to a field. That already requires code, as does lowercasing everything or removing spaces and dashes: code snippets exist for this, but they are not panel settings.
The post ID can't go in the name, and other limits
What it already solves and what you will have to cover another way:
- Solved: template with fixed text and submission data, prefixes and suffixes, numbering, duplicate control and per-entry subfolders.
- Not possible: including the post ID in the name, because posts are created after the files are renamed.
- With code or a developer: global template, lowercase, cleaning spaces and dashes, or applying renaming to every field.
- Incompatible: custom upload paths do not work together with GP Media Library.
- Earlier files: if files were uploaded before activating it, Gravity Forms may have added a duplicate number before the renaming.
It is a Gravity Forms add-on: you need Gravity Forms installed, and it does not work with other form plugins.
Frequently asked questions
Does it rename files that were already uploaded?
No: it acts on files sent with the form, when the submission is completed.
Can I keep the original name and add something?
Yes, with {filename} plus the prefix or suffix you want.
What happens if two people upload a file with the same name?
It handles duplicates automatically, and with {dedup} you choose where the number goes. If you include the entry ID, the names will already be different.
Does it work with multi-file fields?
Yes, and {i} numbers the files by upload order.
