About Paid Memberships Pro - Membership Manager Role Add On

Give access to memberships without handing over the keys to WordPress

When a membership site grows, someone has to look after the members: change a level, check a payment, refund an order, export the list. Usually that person ends up with an administrator account, because it is the only thing that works for them, and from there they can deactivate plugins, change the theme or touch any setting on the site.

This Paid Memberships Pro add on creates a new role, Membership Manager, that opens the memberships area and keeps the rest of WordPress closed. On a site that bills every month, the risk is rarely an intruder: it is someone with good intentions clicking where they should not.

What someone with the Membership Manager role can touch

  • PMPro settings: levels, discount codes, email templates and settings, pages, user fields, payment settings and the setup wizard.
  • Members: browse and search the list, open a member's record, change their memberships and export to CSV.
  • Orders and reports: search orders, process refunds, synchronize subscription payments with the gateway and check the reports.
  • Users: list, create, edit, promote and delete users.

It also works with other PMPro add ons that add their own capabilities, such as Approval Process for Membership (if active) or the Mobile Reports Dashboard app. And if you are a developer, a filter lets you stop managers from assigning certain roles.

The member support person, the accountant and the freelancer: three accounts that should not be admin

Whoever answers members

They need to see the member, fix their level and sometimes refund a payment. They do not need to install plugins or edit pages. With this role they do their job without you being the bottleneck.

Whoever reviews payments and figures

Orders, subscriptions, reports and CSV exports are within reach. It is the typical profile at an association where someone else handles the treasury.

Whoever helps you set things up

A freelancer or collaborator can adjust levels, emails and fields without seeing the rest of the site. One warning: since the role includes payment settings, give it only to people you trust.

How it is assigned in Paid Memberships Pro - Membership Manager Role Add On

There is no settings screen. When you activate it the role appears; then you edit a new or existing user, change the Role field to Membership Manager and save. Done.

The role stays aligned with the capabilities the memberships area needs: if PMPro or another add on adds new permissions, the managers receive them. If you need a different role, do not edit this one: duplicate it and customize it with the User Role Editor plugin.

Questions that come up when sharing permissions

Can a Membership Manager change the theme or install plugins?

No. Their access is limited to the memberships area and user management.

Do I need to configure anything after activating it?

No. You just assign the role to the user.

Can they delete users?

Yes, the role includes creating, editing, promoting and deleting users. If you do not want that, create a customized version.

Can I adjust their permissions?

Yes, by duplicating the role with User Role Editor or with the capabilities filter if you code.

It needs Paid Memberships Pro active and does not work on Multisite

It is a complement: without Paid Memberships Pro installed and activated it makes no sense. It is also not compatible with Multisite environments. And it is not meant to give partial access to other WordPress areas such as posts, media or general settings: it only manages what relates to memberships.
