About PublishPress Checklists Pro

The same publishing mistakes, week after week

On a blog with several authors, the editor ends up fixing the same things over and over: the post with no featured image, images without alternative text, the endless title, links nobody checked. It is not that authors don't know better; with the draft finished and a deadline looming, they forget. PublishPress Checklists Pro turns those repeated corrections into requirements shown next to each post and page, so the mistake is visible before publishing and not after.

What PublishPress Checklists Pro can require from each post

Beside the editor, the author sees a task list. Each item turns from pending to done as they work. These are the checks available:

  • Characters in the title, words in the body, characters in the excerpt and in the permalink, with minimum and maximum values.
  • Number of tags, categories and custom taxonomy terms, and specific terms that are required or forbidden.
  • Internal and external links in the body, and that all of them use a valid format.
  • A required featured image, with controlled height and width, number of images per post and ALT text on all of them.
  • Prior approval from a user with a specific role.

Required, recommended or ignored: you decide how much it blocks

Each item can be set as required, recommended or ignored. Required items stop the content from going out with the task unfinished, and the author gets a message explaining what is missing. If your team is not used to any rules, it is best to start with few required ones (featured image, ALT text) and tighten later; a list with twenty blocks on day one creates more complaints than improvements.

You can also add custom items for the steps of your process: verifying facts, confirming sources, following the style guide. And you can require that a user with a given role approves the content, so that editorial review is an explicit step and not just a habit.

A checklist can't tell whether the text is good

It helps to separate what the plugin solves from what stays in your hands:

  • The plugin solves: a featured image, ALT text, links with a valid format, title and body length within your limits, and the categories or tags you ask for.
  • The plugin solves: nobody publishing without approval from the role you set.
  • You cover: that the article is well argued, the facts are right and the source is reliable. A custom item reminds you of the step, but the judgment remains human.
  • You cover, or another tool does: the editorial calendar, status workflows and permissions, which are other PublishPress plugins and not part of this one.
  • You cover with the OpenAI integration: the review of tone, spelling and grammar, which works as one more AI-assisted check on the list, not as professional proofreading.

WooCommerce, SEO and ACF: checks that depend on other pieces

For stores, PublishPress Checklists Pro adds more than 20 requirements for WooCommerce products, useful so that nobody publishes a half-filled listing. For SEO, it can require that the post passes the checks of Yoast SEO, Rank Math or All in One SEO: this assumes you have the matching SEO plugin installed. There are also checklists for ACF fields.

Frequently asked questions

Is it useful if I write alone?

Yes, as an external memory: it makes you follow your own rules before publishing. It pays off most with several authors or outside contributors.

Does it work with pages and not only posts?

Yes, the list appears next to each post and page.

Does it correct grammar by itself?

No. The review of tone, spelling and grammar is done through the OpenAI integration, which is one more check on the list.

Can I create my own rules?

Yes, you can add custom items for your team's steps and set whether they are required or recommended.
