About QR Code Add-on for WooCommerce PDF Invoices
A PDF invoice is usually a document someone has to read, copy or retype: the order number to look it up in the dashboard, the total to reconcile it, the seller's tax ID to file it. When there are returns, customer queries or a warehouse working on paper, that back and forth of data eats time. A QR code printed on the invoice itself cuts that step.
What the QR code on your invoices does and what it needs to work
This plugin is an add-on: it only works alongside WebToffee's WooCommerce PDF Invoices, Packing Slips, Delivery Notes and Shipping Labels plugin, in its free or premium version (it also works with their invoices, packing slips and credit notes variant). If you use another invoice generator, it won't help you. Nor does it create invoices by itself.
What it adds is a scannable QR on each invoice. Scanning it retrieves order data, and you choose which. It works whether you print the invoice or attach it to the order email.
What data you can put inside the QR
- Invoice number and order number, the most useful for finding the order quickly.
- Invoice date and order date.
- Seller name and seller tax ID.
- Buyer name.
- Invoice total and total tax.
Having the QR carry the seller's tax ID, the total and the taxes is what makes it interesting if your business operates in a country that requires invoices with a QR code. But the plugin lets you choose fields; it does not by itself guarantee that the content meets the format your tax authority requires. Check with your accountant which data and structure are required in your case before relying on it for that.
Frequently asked questions
Does it work with any invoice plugin?
No. It requires WebToffee's PDF invoice plugin, free or premium.
Can I include only the order number?
Yes, you can choose which data is included, from the order or invoice number to the additional fields in the list.
Does it work for printing and for email?
Yes, the QR appears on the printed invoice and on the one attached to order emails.
Can it be used to pay with the QR?
No. The code carries order data to be looked up; it is not a payment system.
When it pays off and when it doesn't
It pays off if you already invoice with the WebToffee plugin and handle orders on paper, with a warehouse or with customer service that looks up invoices often. Also if you want a scannable reference with tax data on the document.
It doesn't pay off if your problem is invoice design or numbering. For sequential numbering, the add-on is listed as compatible with Sequential Orders for WooCommerce.
Setup starts with the invoice plugin, not the QR
Before activating the add-on, have WebToffee's invoice plugin installed and active, and check that it already produces your PDFs correctly. Then configure the QR, choose the fields you want to include and generate a test invoice. Scan it with your phone and with the reader your team uses to confirm the data comes out complete and legible, especially if you print it at a small size.
