About Tax Exempt for WooCommerce
Exemption certificates lost in email and orders with the wrong tax charged
Handling tax exemptions by hand ends in misplaced forms, missing documents and approvals that take weeks. Tax Exempt for WooCommerce moves that process into the store: the customer submits their information from My Account and you decide from the admin.
The problem is not removing the tax, but knowing who is entitled to have it removed and until when. Here you can set an expiry date for each user's exemption.
How exemption works in Tax Exempt for WooCommerce
There are two ways to exempt a customer:
- Automatic exemption: you mark specific customers (by email) or entire user roles as exempt in the settings. They fill in nothing and are not charged tax on their following orders.
- Exemption by request: the customer fills in a form in My Account. You get an email and can approve or reject from links in the message itself or from the user record in the admin. It can also be validated through a VAT number.
The form adapts to what you ask for
You can enable or disable and rename four field types: VAT number, text, text area and file upload. On the file field you add instructions and choose which file types are accepted. You can limit who may request exemption by role, and also allow guests who have no account.
Statuses, expiry and alerts
The customer sees in My Account whether their request is pending, rejected or approved. You can set an expiry date. Customizable emails are sent when a request is submitted, approved, rejected and when the exemption expires. Exemption details appear in the order detail (admin and customer) and in the order email.
Limits worth knowing
An approved customer gets a checkbox at checkout, and must tick it before buying: if they don't, tax is charged. Think about this if your customers are not used to it. It is compatible with the cart and checkout blocks, but only partially compatible with AvaTax. Some users report it does not work when adding an order manually from the admin, and that customizing where and how much is shown at checkout is limited (for example, hiding it by state or zip code).
Frequently asked questions
Can someone without an account request exemption?
Yes, guests can be allowed to claim it.
Is the request approved automatically?
You can approve manually or validate through a VAT number. You can also exempt specific customers or roles in advance.
Can I require a document?
Yes, with the file upload field, choosing the allowed formats and adding instructions.
What happens when it expires?
If you have set an expiry date, the exemption status ends and an email notice is sent.
Does it guarantee tax compliance?
No. It manages the request workflow, but which documents to require and who may be exempt depends on the rules of your country or state.
Test the whole flow with a test customer before opening the store
Before publishing, create a test user and go through everything: request from My Account, email received, approval, checkbox at checkout and order detail. Also check the texts of the checkbox and the emails, and whether your page builder displays the My Account form properly. If you sell with a wholesale role, decide whether you prefer to exempt the whole role or review request by request.
