About Variation Shared Inventory for WooCommerce

The problem with splitting 100 units between two variations

You sell the same product as a single unit and as a box of 10. To make WooCommerce handle it, you have to split the stock: 50 units for the single variation and 50 for the box. A week later, the box shows as sold out while the single variation still has stock, or the other way round. Variation Shared Inventory for WooCommerce avoids that manual split: the variations share one total quantity.

A store that sells the same item wholesale and retail doesn't have two inventories, it has one inventory sold in different formats. Stock plugins usually treat each format as a separate product, and that's where the mismatches begin.

How shared stock works in Variation Shared Inventory

In each variation you set how much stock every unit sold deducts (the "Inventory reduction per item sold" field). Then you group the variations, enter the group's total and, if you like, give it a name. With 100 bags of candy, the single variation deducts 1 and the box deducts 10. The product page shows 100 available for the single and 10 for the box. If 50 singles are sold, the total drops to 50 and the box shows 5.

  • Automatic updates: if you change the total stock, each variation in the group is recalculated.
  • Overselling control: cart validation stops combinations that exceed the total. With 100 units, nobody can check out with 51 singles and 5 boxes at once.
  • Dedicated tab on the product: management happens on the edit screen, not somewhere else.
  • Dashboard with all groups: lets you view and adjust stock quickly, and Shop Managers can use it without being administrators.
  • Mobile app and REST API sync: adjustments made there are reflected in the shared group.

Where it fits with Variation Shared Inventory

It works when the same physical stock is sold in different formats:

  • Volume sales with a discount, such as one bar at one price and ten at a lower one.
  • Weight-based products, such as coffee in 100 g, 250 g and 500 g bags from the same batch.
  • Blank products to customize, such as plain or printed t-shirts from the same run.

It works with a variable product where each quantity is a variation. This is more convenient for the customer, who first picks the product and then the quantity, than creating one product per format.

Does it work if your catalog isn't built on variations? Questions and limits

Before deciding, keep in mind that everything relies on variable products: if you currently sell each format as an independent product, you'll have to reorganize. Also, shared stock is defined inside each product; it is not for splitting stock across different products.

Can I have several groups in one product?

Yes. You can create as many groups as you need, for example some variations for peach candy and others for apple candy, each with its own total.

Do I have to enable stock management on every variation?

Yes. The variations you want to share need the reduction-per-unit field filled in and the "Manage stock?" option turned on. Once shared, their individual quantity is locked to prevent mistakes.

What happens if I change the stock by hand?

Change the group's total and the plugin recalculates the variations. Edit the total, not each variation separately.

Can my team manage it without being administrators?

Yes, Shop Managers can access the shared inventory dashboard without administrator privileges.
