About Virtual Events Addon for MEC

Anyone who runs a webinar, a live class or an online conference knows the pattern: the room link is posted on the event page, someone copies it into a group chat and when the event starts people walk in who never booked. Meanwhile, those who did book write in to ask where the link was.

Virtual Events Addon for MEC tackles exactly that part inside Modern Events Calendar: it decides who sees the access details and when.

Virtual Events Addon for MEC: the access link shouldn't be out in the open

At an in-person event, someone guards the door. At an online one, the door is a web address, and an address gets forwarded in two clicks. If your event is paid, has limited seats or is for members only, publishing the link for everyone to see leaves the door wide open. This addon lets you keep the calendar public while reserving the connection details for the right people.

Password, private link or embed code, depending on how you run the event

Each event can show the details an attendee needs to connect. You choose which ones:

  • Password: the key specific to that event, useful if your room requires one.
  • Private link: the access address the attendee will see inside the event.
  • Embed code: an embed for the event so the user can join from the page itself.

You supply the details.

Show it only to those who booked, and put it in the email too

The limit view option makes the link and password visible only to users who have booked. If you prefer an open event, you can also show them to everyone: it is a decision you make per event.

The addon also includes placeholders that insert the virtual event's information into the emails users receive. That way attendees have the access in their inbox from the moment they book, and don't have to go back and look for it on the website on the day of the event.

To make it obvious at a glance which events are online, you can enable a virtual event badge, both on each event's page (in the sidebar) and in the shortcodes you have around the site.

Is Virtual Events Addon for MEC enough, or do you need a streaming platform?

It is an addon and does not work on its own: it needs Modern Events Calendar (Lite or Pro) installed. It also does not create the meeting or stream video: it shows the details of a room you have already created in whichever tool you use. If you are looking for the streaming service itself, this only covers distributing the access.

Can I use it without Modern Events Calendar?

No. It is an extension of that calendar and depends on it.

Can I hide the link from people who haven't booked?

Yes. With the limit view option, only users who have booked can see it. You can also show it to everyone if the event is open.

Is the access sent by email?

Yes, through placeholders that insert the virtual event's details into the emails sent to users.

Does it create the room or the video call for me?

No. You create the room in your video conferencing or streaming tool, and the addon takes care of showing its link, its password or its embed code.

Can a virtual event be told apart in the listings?

Yes, with the virtual event badge, which you can enable on the event page and in shortcodes.
