About WooCommerce Advanced Notifications
The alert lands in your inbox, but someone else prepares the order
As a store grows, the new order email keeps going to a single inbox: the administrator's. Then the manual forwarding begins: copying the order for the supplier, telling the warehouse a product is running out, remembering to delete the price before forwarding. The day you forget, whoever ships the parcel sees how much you charged.
The person preparing a shipment needs to know what and where, not how much the customer paid. WooCommerce Advanced Notifications splits email alerts among the people who need them, with rules you define once.
Advanced Notifications with an external supplier: from setup to the email received
Picture a clothing store where an external supplier ships the t-shirts and everything else leaves from your warehouse.
Step 1: you add the recipient
A notifications area appears in the WooCommerce menu. There you create the supplier with a name and one or more email addresses. You can also store a phone number and address, but those details are for your own reference only: they play no part in sending.
Step 2: you choose which events they receive
Each recipient gets only the events you assign: new orders, low stock, no stock or backorders. The supplier receives new orders; the warehouse manager, stock alerts. You can create as many recipients as you need, and a single purchase can notify several people.
Step 3: you narrow it down by product
So the t-shirt supplier doesn't receive orders that aren't theirs, you add a criterion: products in a category, products with a specific shipping class, or notifications set up product by product. Those are the available filters; if your routing depends on other logic, you will have to translate it into categories or shipping classes.
Step 4: you decide what they see
Alerts are based on WooCommerce emails, so you can include or hide prices and order totals. You can also show only the relevant data: if the notification is about a t-shirt, the email lists that t-shirt and ignores the other items in the order.
One practical limit: these are emails, and they arrive only if your site sends mail reliably. If your hosting is inconsistent with email, the alerts will suffer the same.
Questions before setting up Advanced Notifications
Do I need another plugin besides WooCommerce?
No. It works on top of WooCommerce and is configured from its own settings, with no code.
Can a supplier receive only their own products?
Yes, by category, shipping class or product. It's the use it fits best if you work with several suppliers or with drop shipping.
Can I send low stock alerts to a specific person?
Yes. Low stock, no stock and backorder alerts can be directed to a warehouse manager or a supplier, for all products or just one category.
Can I hide the order amount from a recipient?
Yes. You configure what each notification includes, prices and totals among other things.
To write to your customers you need a different tool
This plugin is for internal, operational alerts: staff, suppliers and distributors. It isn't for follow-ups, promotions or marketing emails to shoppers, nor for showing messages in the store. A marketing automation extension like AutomateWoo fits better for that. Use it so your team and partners stay informed without you acting as a switchboard.
