About WooCommerce Order Status Manager
The statuses WooCommerce ships with (pending, processing, completed) fall short when an order passes through more hands: it gets produced, reviewed, held up waiting for a part, prepared for pickup. You end up writing that information in internal notes or in a separate spreadsheet, and the customer emails asking where their order is.
Custom statuses that are part of the workflow, not loose labels
WooCommerce Order Status Manager lets you create, edit and delete custom order statuses, and integrates them into the orders list, the order actions and the bulk actions. You can assign an icon that replaces the text label in the list and reorder statuses by dragging and dropping in the admin area. Orders with custom statuses can also be included in store reports.
The idea behind it: a status is only useful if it fits the rest of the process. That is why you can also edit WooCommerce's core statuses and define a "next status". For example, adding your status to "processing" orders makes an action button appear on each of them.
Emails that go out on their own when the status changes
You can create order emails that trigger on a specific status change, whether between custom statuses or core ones. They go to the customer or to the administrators, are edited from the WooCommerce email list and, if you want more control over the content, you can override the template in your theme.
- Notify the customer when the order reaches a stage they care about.
- Notify the team when an order reaches a stage they have to handle.
What the customer sees and how payment behaves
Each status, core ones included, supports a description that the customer sees in "View order" when hovering over it. Here is a detail from experience: an internal status such as "Assembled" or "Manufactured" tells the buyer nothing. Write the description from their point of view (what it means for them and what comes next).
You can also mark a status as "Paid", so the customer sees download links or purchase notes, or as "Requires payment", so the "Pay" and "Cancel" buttons are shown. You can import statuses from your own code or other plugins, or delete one, without losing orders.
Decide whether Order Status Manager is worth it
It is worth it if your store has real preparation stages that you currently manage outside WooCommerce. If you only need "shipped" and little else, you probably don't need it.
Can I use it to show shipment tracking?
That is not what it does: it manages statuses, icons, buttons and emails, not tracking with carriers.
Is there anything to test before going live?
Yes. Some users have reported in reviews that, in one particular version, moving an order to a custom status generated a new order number. Test the status change on a copy of the store and check that the number stays the same, especially if you use custom numbering.
Do the new statuses appear in reports?
Yes, orders with custom statuses can be included in store reports.
