About WP Project Manager Pro

"How is mine going?" is a report nobody published

The client who writes to ask how their project is going rarely doubts your work: they simply have nowhere to look. Each answer interrupts someone on the team, and each status copied into an email ages as soon as it is sent. When that keeps happening, the problem stops being about communication and becomes about where the information lives.

WP Project Manager Pro, by weDevs, moves that information into your own WordPress, with projects and files hosted on your site. Clients check reports, download files and see their invoices without asking you, and the team works from the front end without entering the WordPress dashboard.

Tasks, Gantt and milestones in one project

  • Tasks: unlimited lists with assignees, due dates, comments and progress, plus subtasks assignable to several people.
  • Recurring tasks and custom fields on projects or tasks.
  • Views: Kanban board, Gantt chart with dependencies and drag-and-drop calendar.
  • Milestones: upcoming, completed and overdue, with linked task lists.
  • Reports: overdue and completed tasks, activity by user, by milestone and unassigned.
  • Getting going: project templates and AI creation of task lists from a description, reviewable before use.
  • Personal dashboard for each member, daily email digest and project archiving.

Tracked hours and invoices paid from the project

Time Tracker measures time with a per-task timer, one at a time, and accepts manual entries with start and end times.

Invoices combine two line types: hourly work, with a rate and number of hours, and items, with price, quantity and optional tax. They export to PDF. PayPal is the default gateway and marks the invoice as paid automatically; Stripe is added as a module. You can accept a minimum partial payment or manually record what was collected another way.

The client sees their invoices after logging in, on a page with the [pm_invoice] shortcode, as long as you assigned them. An invoice with no client selected is not shown to them.

A WooCommerce order can open a project

If you sell services in your shop, the work starts where the purchase ends. The WooCommerce Orders module creates a project when the customer places the order for an assigned product, so check what happens with orders not yet paid. Each rule defines the product, the people and their role, and there are two modes:

  • Create: creates a blank project named after the product. Tasks are added by hand.
  • Duplicate: copies an existing project with its structure and tasks, and works as a template for the service.

Other integrations: task alerts in Slack, sync with GitHub and Bitbucket, BuddyPress, and Drive, Calendar and Meet from Google Workspace.

Backups, permissions and first steps

Everything lives in your WordPress, so backups and file storage are your responsibility. Only administrators see all projects; everyone else sees those they are assigned to, based on their role. AI sends data to external services such as OpenAI, Google or Anthropic when used.

  1. Install the plugin from Plugins, Add New, by uploading the file.
  2. Activate under Project Manager, Modules, only the modules you will use.
  3. Create the first project and add its team, assigning each person a role.
  4. Enable the front end and publish the projects page.
  5. Configure the gateway under Project Manager, Settings, Invoice, and create the page with [pm_invoice].
  6. Test an invoice with PayPal in sandbox mode.

If your team thinks in boards

FluentBoards Pro organizes work on Kanban boards with multi-stage workflows, offers a table view and gives access to boards on the front end through a shortcode.

Answers for those running client projects

Where are projects and files stored?

Inside your WordPress site.

Does the client need to enter the WordPress dashboard?

No. The front end lets people view and manage projects without reaching the dashboard, and invoices appear on their own page after logging in.

Can I time two tasks at once?

No. Time is recorded for one task at a time, and for tracking each task should have a single assignee.

What do I need for the WooCommerce module?

WooCommerce active and at least two projects created.
