About WS Form PRO - PDF

For anyone who needs every form submission to leave behind a document, not just an email with loose fields

A request form, a quote or a registration sheet usually ends the same way: an email with raw data that someone copies by hand into a document to file or forward. WS Form PRO - PDF turns every submission into a PDF, which makes it useful if you handle requests that must be stored, printed or attached to a file.

It is not for you if you want a document generator with a visual designer. The PDF comes from an HTML template with variables, and changing its look means editing HTML and CSS code. It is also an add-on: it needs WS Form PRO and is not compatible with WS Form LITE. It is activated with its own license key, different from the WS Form PRO one.

What WS Form PRO - PDF does with each submission

It has two main uses:

  • Attach it to the email: the send email action gets a checkbox to attach the PDF with the submitted data. You can give it your own file name, including WS Form variables, so each document arrives identified.
  • Export it from submissions: in a form's submissions list, each row has an Export PDF link to generate it whenever you need it.

Forms must be published for the integration to work.

HTML templates: full control, but with work on your side

By default a simple standard template is used. If you want another, you can create one for a specific form (saved with the form ID as its name) or a different one for each email action. That way, the PDF your client receives can differ from the one your team receives.

The PDF is generated with dompdf, a well-known HTML to PDF converter, so the format is limited to the CSS that dompdf understands. Page size and orientation are set in the plugin settings or, inside the template, with a CSS rule.

An important detail: the Export PDF link on the submissions page always uses the standard template or the form-specific one, never the one you chose in a particular email action.

Page breaks and variables to link the PDF

On installation a new field appears, Page Break, which you drag onto the form to decide where the page is cut in the PDF. It has no settings of its own.

It also adds four variables to use in messages, emails and mappings: a link to download the PDF, another to view it in the browser, and the equivalent URLs.

PDFs are not stored on your server

Documents are generated on the fly from an encrypted code in the URL. For those links to work, the form must have a save submission action. And you should not touch the ws_form record in the wp_options table: if it changes, links already sent stop working.

Questions to ask before installing it

Does it work with WS Form LITE?

No. Integrations are not compatible with the LITE version.

Can I use a different design for each form?

Yes, with one HTML template per form, or per email action.

Can I change the font and page size without touching code?

Yes, in the PDF tab of the WS Form settings you can change size, orientation and font. For a custom design you will need HTML.
