About Zoom Integration Addon for MEC

The ticket to your event is a link

An in-person event has a door and someone checking tickets. An online event has a Zoom address, and that address behaves like any other text: it gets pasted on a page, copied into an email, lost in the inbox of whoever paid, and it reaches late the person who most expected it.

At an online event, the ticket is a link, and much of the work comes down to deciding who sees it and when. Webinar organizers tend to think of the meeting first, but the attendee cares about something else: where is the link, what is the password, why did I not get it.

Zoom Integration connects Modern Events Calendar with Zoom so that this data lives in the event and its bookings: on the page, in the email sent after booking and in the box shown to whoever booked. Sessions are created or brought in from Zoom, and the calendar takes care of showing them.

Importing, exporting and showing sessions

  • Import of meetings and webinars from Zoom, with a session list and an import log.
  • Export to Zoom of MEC events, choosing meeting or webinar on each one.
  • Visible data of your choice: join link, registration link, meeting ID and password.
  • Zoom badge on shortcodes and on the event page, plus an embedded room.
  • Zoom recordings shown on events.
  • Attendance report that compares Zoom participants with MEC bookings and exports to CSV.
  • Meeting options: waiting room, join before host, video, mute on entry and auto recording.

Who sees the link and at what moment

Access details can be shown to everyone or limited to people with a confirmed booking, and a canceled booking loses access. Whoever booked and is logged in finds them in a dedicated box on the event page.

There is also timing control: show the details only within an interval before the start, or hide them once the event is live. For email, MEC gets placeholders with the link, password, ID and embed code, plus a Zoom-specific message that leaves in-person event emails untouched.

What to check before relying on it

Limiting the view does not stop forwarding. Among its features there is nothing that prevents an attendee with a booking from sharing the link or password with someone else.

Sync needs testing. Check on your version how many accounts it supports, whether changes travel on their own in both directions, whether import runs on a schedule and whether the generated address returns to MEC by itself. Before announcing a real event, create a test meeting, change it on each side and see what updates.

Some advanced booking features depend on your MEC edition, and meeting options may vary with your Zoom account.

Connecting MEC to your Zoom account

It needs Modern Events Calendar installed and active, and a valid Zoom account. To get it running:

  1. Activate MEC and the add-on, and open the Zoom Integration settings.
  2. Authorize your Zoom account using the method those settings show.
  3. Import a session from Zoom or export a test event.
  4. Choose which details are shown and add the placeholders to the booking emails.
  5. Make a test booking and review the page, the email and the access box.

Zoom for appointments and more MEC add-ons

If you sell appointments rather than events, the LatePoint Zoom Meetings add-on creates a meeting for each appointment in Approved status. For anyone working with BookingPress there is its Zoom add-on.

To keep extending MEC, the catalog includes Advanced Reports and Advanced Speaker.

What people ask before the first webinar

Does it work with MEC Lite?

The add-on works with MEC Lite or Pro, but some advanced booking features depend on the edition. If you plan to limit access to people who booked, test it with yours.

Does it cover both meetings and webinars?

Yes. It imports and exports both types.

Can I send the link by email?

Yes. Access details can be included in the emails attendees receive after booking.

Can outside organizers add their own link?

Yes, if you enable the Virtual Event option in the frontend event submission form.

Can the room be viewed inside the site?

Yes, there is an embedded room option. Review it in a test booking before the event.
