About Clients Pro for wProject
For a client to see a project, they need a task in it
You invite a client to your project manager so they can follow what you do for them. They log in with their user, look around and find nothing: the project exists, but it is not theirs.
With limited access, which is the default, a client only sees the projects where they have a task, so assigning them a task is how you open the door.
Clients Pro is a wProject add-on that gives your clients access under the conditions you set. A client is a user with the Client role, and you decide which projects they see and what they can do in them. Because the recommended mode depends on tasks, it helps for every project you want to share to already have a task in the client's name before you notify them.
Three access modes and eight permissions
Project access has three modes:
- Limited: the client only sees the projects where they have a task. It is the default.
- Unlimited: the client sees every project. It is an option to keep for when there is no sensitive information.
- Specific: they see the projects you list in their user profile, plus those where they already have tasks.
Permissions are switched on or off one by one:
- Create and edit their own tasks.
- Create tasks for other users in the organization.
- Comment on tasks, as long as task comments are enabled.
- Comment on pages, which also requires page access.
- View project info: dates, time, costs and other details.
- View the team page with its members' bios.
- View tasks owned by others.
- Access pages.
Two projects and a client with limited access
A typical case: a user with the Client role and two projects, one with a task of theirs and one with none. In Limited mode they see only the first; with Specific and the second project added in their profile, they see both. It is just a sample split; change it to suit your clients.
If you turn on View project info, the client sees dates, time and costs, so decide first whether you want to show those details. Kanban boards and Gantt charts are read-only for them.
Four things closed to the client
- They cannot access reports.
- They cannot manage a project.
- They cannot open the details page of a task that is not theirs, although they do see the details listed in the projects they take part in.
- If you deactivate the add-on, all clients are locked out until you reactivate it.
How to give a client access
You need wProject installed. Clients Pro adds its settings inside wProject's.
- Install and activate the add-on.
- Open the wProject settings and find Clients Pro under the Pro Addons heading.
- Choose the project access mode and the client permissions you want.
- Go to Users, Add New, fill in the details and assign the Client role.
Alternatives for communicating with the client
For the same wProject there is also wProject Comment Mention Pro, another add-on in the wProject family.
