About Custom Order Status for WooCommerce Pro
WooCommerce ships with a handful of order statuses designed for a generic store: pending, processing, completed. But your real operation has more steps: order in preparation, waiting for a supplier, ready for pickup, payment under review. When all of that hides under "Processing", your team asks around by hand to learn where each order stands and customers write in to ask what is going on.
When "Processing" hides everything in your store
The problem is not technical, it is about information: an order that has sat in the same status for three days looks normal until someone complains. The store that gains most from this plugin is one with several internal steps (production, packing, shipping, pickup) and several people handling orders. If you work alone with a very simple flow, the default statuses are probably enough.
Your own statuses, with icon and color, inside the orders panel of Custom Order Status for WooCommerce Pro
You create statuses named the way you use them in your business, without touching code, and manage them from WooCommerce's own status panel. Each one can carry an icon (hundreds of Font Awesome icons are available) and a status and text color, so they can be told apart at a glance in the orders list. There is no limit on custom statuses.
- Rename the default statuses: you can change "Processing" to "Order received", for example. It applies to future orders.
- Bulk actions: you move several orders to a custom status from the bulk actions dropdown, or one by one from the edit page.
- Buttons in the preview: you can add your statuses to the action buttons of the order preview.
Rules that change the status on their own, and alerts for customers and your team
The most useful time saver is automation. You can make an order move from "Pending" to "Processing" after a delay, or decide by payment method, shipping zone, product, category, amount, quantity, user role or customer country. You can also exclude specific days: for example, prevent an order from being marked as shipped on a Sunday or on December 25th.
Every change to a custom status can trigger an email or an SMS to the customer, and you can combine several changes in a single notification. For your team, the stall alert helps: if an order stays in a status longer than the time you set (in minutes, hours, days, weeks or months), the administrator gets an email.
Other per-status settings: assign it to built-in, third-party or custom payment gateways (from PayPal to cash on delivery); let the customer cancel from their orders page; lock order editing, as happens with Processing and Completed; and raise or lower stock when it enters that status.
Frequently asked questions before you decide
Can I use it with payment gateways that are not from WooCommerce?
Yes, you can assign statuses to built-in gateways, third-party gateway plugins and custom gateways.
Does it notify by SMS or only by email?
Both channels. Check in the demo how SMS is set up in your case before counting on it.
Can customers cancel any order?
Only those in a status where you enable the "user can cancel" option. The rest cannot be canceled.
Does it work on multisite?
One user review mentions that it works with WordPress multisite, but you should test it on your own installation.
Does it change stock automatically?
Only if you configure it on each status: you can choose to increase or decrease it.
What to sketch on paper before turning the rules on
Before creating anything, draw your real flow: which statuses exist, who changes them and what each one triggers. Automatic rules and stock can cause surprises if two statuses overlap, especially with inventory deductions. Test first with sample orders and a single gateway, review the email text and confirm the statuses look right in the orders list. Then expand gradually.
