About Gravity Perks Unique ID

An improvised order number ends up repeated, skipped or lost

When a form collects orders, registrations or requests, sooner or later someone asks: "what is my number?". If you number them by hand in a spreadsheet, sooner or later one is repeated, skipped or doesn't match what the customer received.

Gravity Perks Unique ID adds a field to Gravity Forms that assigns an identifier to each submission.

Three ID types and the settings that shape them

When you add the field from the advanced fields, you choose which type of identifier to generate:

  • Alphanumeric: mixes letters and numbers (like a12z9). The minimum length is 4.
  • Numeric: digits only, with a length between 9 and 19.
  • Sequential: 1, 2, 3, counted per field. The length is used to pad with zeros (1 with length 5 becomes 00001) and you can set the starting number.

You can also add a prefix and a suffix, and both accept merge tags. That way an ID can come out as a reference with your own format, without touching code. To show it to the user, just use the field's merge tag, which works in confirmations and notifications, and the field is also included in {all_fields}.

Invoices, coupons and files: which ID each business needs

If you invoice from a form

The sequential type with a prefix and starting number gives you consecutive numbering. In some countries that is a legal requirement, so check with your accountant what yours demands. The plugin integrates with Gravity PDF's invoicing templates, which can use the generated value on the invoice.

If you give out coupons or run raffles

It can generate coupon codes and a unique number for raffles. There are guides for generating coupons for WooCommerce, Easy Digital Downloads and the Gravity Forms coupons add-on, and also for setting up a raffle.

If you receive files and want to keep them organized

With Gravity Forms File Renamer, the field's merge tag goes into the file name template, so every upload carries its own number or unique ID.

Questions before adding Gravity Perks Unique ID

Can I start the sequence at a specific number? Yes, the sequential type has a starting number setting.

Can I mix text with the number? Yes, with a prefix and suffix, which also accept merge tags.

Can a sequence be shared across several fields or forms? Yes, but through a PHP code snippet, not from the field settings.

Does it work on its own? No: it needs Gravity Forms and Gravity Perks installed.

How does the customer see their number? By inserting the field's merge tag in the confirmation or in the notification email.

The field is empty until the form is submitted

To guarantee that the ID is unique, it is generated only when the submission completes successfully. That is why the field is not visible on the form and nobody can see their number while filling it in. If you want them to see it, you will have to show it in the confirmation or by email. Resetting the sequence at a given number, copying the ID to another field or tying it to a date field also require code snippets.
