About Latepoint Zoom Meetings Addon

The meeting is born when you approve the appointment, not when the client books

Anyone who works by video call tends to think the link is a technical detail: the client books, the address arrives and that is it. But in an online consultation the link is the front door. If it is not there, the client has nowhere to go, and they may well send a message ten minutes before asking whether the appointment is still on.

The Zoom Meetings add-on for LatePoint automatically creates the Zoom meeting for every appointment with Approved status. The practical consequence is this: if you review bookings by hand before confirming them, a pending appointment has no meeting yet, and the client will not have a link until you approve it. The way you approve decides when the door exists.

What it sets up for every approved appointment

  • A Zoom meeting created on its own when the appointment is approved, without copying links by hand.
  • Template variables to put the link in email and SMS notifications.
  • Access from the customer dashboard: the client joins the meeting from their panel on your site.
  • Administrator access from the booking edit form.
  • Per-service activation, so only online appointments generate a meeting.

One Zoom user per agent, and service by service

Each LatePoint agent is linked to a Zoom user, and those users are added in your own Zoom account.

The Zoom option is switched on at the bottom of each service's edit page. That lets you mix in the same calendar the in-person visit and the online consultation: the first creates nothing and the second does. It is worth going through the services one by one when you install it, because a forgotten service is an online appointment without a link.

Cancelling or moving an appointment: what to test

It is not a booking system: services, agents, schedules and payments belong to the base plugin. It does not host the meetings either: the video call happens in your Zoom account, under its terms.

There are two cases worth testing before opening the calendar: what happens to the meeting if the client cancels and what happens if the appointment is moved to another time. Book a test appointment, approve it, move it and cancel it, and check what remains in your Zoom account.

And if you approve by hand, say in the booking confirmation that the link will arrive once it is approved, so the client does not miss it.

The Zoom app first, then the services

It needs LatePoint installed and a Zoom account where you can create apps in its Marketplace. The order that avoids going back:

  1. In the Zoom Marketplace, create a Server-to-Server app.
  2. Give it the meeting permissions (view and manage all user meetings) and the user permissions (view users).
  3. Copy the Account ID, the Client ID and the Client Secret.
  4. Install the add-on from the LatePoint add-ons page and paste those credentials into the meetings integration settings.
  5. Assign a Zoom user to each agent and switch Zoom on for the online services.

Meet, Teams or Zoom inside LatePoint

If your team works with Microsoft, the Outlook Calendar add-on syncs the Outlook calendar both ways and creates the video meeting link when the appointment is confirmed. For Google Meet, LatePoint handles it with its Google Calendar add-on.

The foundation is LatePoint, with deposits and a customer area, and if your online sessions are group ones, LatePoint Pro Features adds group bookings and reminders.

Approval, agents, credentials and links

When is the Zoom meeting created?

When the appointment moves to Approved status. A pending appointment does not have one yet.

Can I use Zoom only for some services?

Yes. It is switched on in each service's edit page.

Does each agent need a Zoom user?

Yes, each agent is linked to a Zoom user in your account.

What credentials does it ask for?

The Account ID, the Client ID and the Client Secret of a Server-to-Server app created in the Zoom Marketplace.

How does the client get the link?

Through the emails and SMS that include the link variable, and from their customer area on your site.

Does it work without LatePoint?

No, it is an add-on and needs the base plugin.
