About Ninja Forms PDF Form Submissions
For anyone who needs a document for every submission, not a spreadsheet
When a form receives contracts, applications or orders, the data ends up in the WordPress dashboard or in an email with stacked fields that nobody wants to file or forward. Whoever receives that often ends up copying and pasting into a Word file just to have something presentable.
This add-on is for people who already use Ninja Forms and need every submission to come out as a PDF with their logo, their layout and a recognizable file name. It is not for anyone looking for a standalone PDF editor or for anyone who does not use Ninja Forms: it is an add-on that depends on it and does not work on its own.
- It suits you if your submissions are documents in the making: receipts, applications, confirmations, certificates, reports.
- It does not suit you if you only want to export raw data to analyze in a spreadsheet.
A template you design inside the Ninja Forms builder
The template is created in the form builder itself with a rich text editor, with HTML formatting for anyone who wants to fine-tune it. You do not need Adobe Acrobat or any other external program.
With merge tags, the data from each submission is inserted into the document automatically, so every PDF is unique even though they all follow the same template. You design once and every submission produces a finished document.
Headers and footers with your branding
You can put the company name, logo and address in the header, and page numbers, dates or your own text in the footer. Content can be placed left, center or right, and it also accepts dynamic data from each submission.
From submission to email, with no manual steps
With a single toggle on any Ninja Forms email action, the generated PDF is attached to the notification. That way, the person who submits the form or your team receive the document without anyone exporting it by hand.
The file name is also built with merge tags: the person's name, the date, the form title or any field. No more "submission-123.pdf" files that are impossible to tell apart in the downloads folder.
Old submissions and electronic signatures
From the Submissions page in the admin you can generate the PDF of any submission stored in Ninja Forms, from last week or from months ago, with one click.
If your form collects electronic signatures, they are embedded in the PDF automatically. That lets you file a signed contract as a complete document. Still, the signature depends on your form having a field to collect it.
Which documents you can produce from a form
- Contracts and agreements with an embedded signature.
- Invoices and receipts with line items, totals and company branding.
- Job applications in a format that is convenient for whoever reviews them.
- Registration or event confirmations attached to the email.
- Certificates and diplomas generated from the form data.
- Internal reports, surveys or inspections to archive.
There are pre-built templates for contracts and job applications as a starting point. For all other documents, you design your own from scratch.

Do I need Adobe Acrobat?
No. The template is designed inside Ninja Forms.
Does it work without Ninja Forms?
No. It is an add-on for Ninja Forms and requires it to be installed.
Can I generate PDFs of earlier submissions?
Yes, from the Submissions page in the admin, one by one.
Can I name each PDF based on what the person entered?
Yes, with merge tags you can combine the name, date, form title or any field.
