About WooCommerce Admin Custom Order Fields

For the store that decides details after payment, not the one that asks for them at checkout

When a customer pays for a trip, a consulting session or a custom service, the order is only the beginning: the pilot, the final date or the assigned manager are decided afterwards. And that detail ends up in an order note buried among twenty others, or in an Excel file that only one person on the team opens.

WooCommerce Admin Custom Order Fields lets the team record internal data inside the order itself. The fields are admin fields: they are created to be filled in and edited by whoever runs the store, not for customers to complete on the checkout form.

  • It fits you if you sell services, bookings or orders where people, dates or internal details must be assigned once the purchase is made, and several people work on the same order.
  • It does not fit you if you want to add questions to the checkout for customers to answer, or if your orders need no data of their own beyond what WooCommerce already stores.

An order that carries the pilot, the date and the manager inside it

You create the fields from the WooCommerce menu, in the custom order fields section, and then add or edit them when you open any order. They are details that live in the original order, not in a separate document.

Examples that fit: assigning a pilot and a time slot to a helicopter trip, noting the date of a consulting session, or linking several case managers to a consulting account. Any team member with access to the order sees and edits the same information, without asking anyone for their spreadsheet.

Sort and filter orders by your own data

The practical advantage is not just storing the data but being able to use it. With the fields you have created you can sort or filter the order list.

It is worth understanding it properly: its role is to store and sort data per order, not to be a separate customer tracking system.

What customers see with WooCommerce Admin Custom Order Fields

By default, all fields are hidden from the customer. That lets you keep internal annotations without them coming to light.

If a field is useful to the buyer, for example the name of their guide or the travel group you have assigned them to, you change the field attribute to «Show in my orders or email». It then appears alongside the rest of the order details. The decision is made field by field, so review which ones you enable before publishing them.

Questions before installing it

Can customers see or fill in these fields?

They can see them only if you enable it on each field. They cannot fill them in: they are admin fields.

Can I search or filter orders by a field I created?

Yes, you can sort or filter the order list by those fields.

Does it replace order notes?

It complements them: what needs structure (dates, owners, assignments) goes in fields, and one-off conversation can stay in notes.

Is it useful if I only sell physical products with no follow-up?

You probably don't need it. Its value appears when each order needs its own internal data that you later want to check or filter.
