About WooCommerce Email Attachments

Your attachments belong to the email type, not to the order

Every week someone asks for the store terms, the installation guide or the spare parts catalog, and every week someone on the team forwards them by hand from their own account. That file should have gone out by itself, with the order email WooCommerce already sends.

Email Attachments does that, and its design shows very well what it is for. Files are not assigned to a customer or to an order: they are assigned to an email type. You choose "completed order", upload a PDF, and everyone who receives that email gets it.

That is why the first decision is to split your documents into two piles. In one, what everyone must receive: terms, general instructions, a returns policy, a catalog. In the other, what belongs to one person: their invoice, their certificate, their print proof. The first pile is this plugin's ground. The second needs another tool.

What you can do with each WooCommerce email

  • Attach any file type, with no limit on the number of attachments.
  • Add CC and BCC recipients per email type, separated by commas, with duplicates removed automatically.
  • Announce the attachment with a headline and a text at the email footer, or leave them empty to omit them.
  • Reuse your media library, with a filter to see only attachments or all files, without uploading anything twice.
  • Work in several languages with WPML: you translate the notice and tick which languages each attachment goes to.

Which emails it covers and which may fail

It covers all the emails added by WooCommerce. It also recognises those from other extensions, on one condition: that they use the WooCommerce email API, as the subscription and booking extensions do.

A plugin that sends its notices on its own, without going through that API, will not appear in the dropdown. The check is quick: open the "Select type of E-Mail" list after installing and see whether the email you care about is there. If it does not appear, this plugin cannot act on it.

Weight, old files and conditions before switching it on

Watch the weight. The file travels inside each email. A catalog of many megabytes multiplied by all your orders weighs on your sending and on the recipient's inbox. Compress the PDFs, or attach a short version.

Update the file with a plan. What you upload is a fixed copy sent until you change it. If your terms change, the old attachment keeps going out. Removing it from the list does not delete the file from the media library either: that is a separate step.

The file is the same for everyone. Its features do not include invoice generation or inserting customer data.

Among its settings there are no conditions by product, category or amount. You choose by email type and, with WPML, by language. If a file should only reach those who bought a certain product, this does not cover it.

Requirements and a first email with an attachment

It needs PHP 7.4, WordPress 6.0 or higher and WooCommerce 8.0 or higher. Once installed, these are the steps:

  1. Decide which files are for everyone and which email they fit.
  2. Write the notice headline and text, or leave them empty.
  3. Choose the email type in the dropdown.
  4. Upload or select the files and put them in order.
  5. Add CC or BCC if needed.
  6. Place a test order and check that the email arrives with its attachment.

Other pieces for store documents

For what belongs to a specific order, WooCommerce Attach Me! attaches files to an order from the dashboard, whatever their content. For invoices, PDF Invoices & Packing Slips Pro adds credit notes, proforma invoices and receipts.

If what bothers you is how the emails look rather than what they carry, the catalog has Email Template Customizer.

Questions about WooCommerce attachments

Can I send a different invoice to each customer?

No. Each email type carries the same files for everyone. Individual documents need another plugin.

Does it work with subscription emails?

Yes, extension emails are recognised if they use the WooCommerce email API, as subscription and booking extensions do.

Can I send a different PDF by language?

Yes, with WPML. Each attachment is ticked for one, several or all languages.

Can I send a copy to my accountant?

Yes. Add their address in CC or BCC on the email type you need.
