About WPForms Google Sheets Addon
Your forms come to depend on one Google account
A quote form fills a sheet shared by sales and accounting. All goes well until someone asks which account made the connection and nobody remembers. The add-on supports one connected Google account at a time, and on shared corporate sheets that account needs direct Editor access: belonging to a group with access is not enough.
That account becomes a part of your company, so it deserves as much thought as the form itself. A business account copes better with team changes than the personal account of whoever built the site.
WPForms Google Sheets sends your form entries to a spreadsheet, with no external connectors. It fits when your team already works in sheets and you want to stop copying data by hand.
How each entry travels to the sheet
- Direct connection: links the form to Google Sheets without third-party tools.
- Real-time delivery: the entry shows up in the sheet within a few seconds.
- One sheet per form: each form can go to a different sheet.
- Field mapping: you choose which column receives each field. It also accepts custom values, Smart Tags and Google Sheets formulas.
- Conditional logic: filters which entries reach the sheet according to your conditions.
Column A is reserved for the entry number
WPForms fills column A with the Entry ID, and that position cannot be changed. In return, each value links to that entry's page, so the sheet keeps a way back to the original record. Your columns start at B.
The rest is arranged from the sheet itself. Only columns that already exist appear in the mapping, so you create them there first and then return to the connection. A sheet comes with 26 columns, from A to Z; if you need more, you add them in Google Sheets.
New entries are written after the last row and whatever your team types by hand stays where it is.
One-way delivery to the sheet, from the moment you connect
The sheet receives new submissions. For a copy of the entries you already have, the route is to export them. The flow runs in one direction: among its features there is no filling form options with data from the sheet.
Nor can everyone who edits forms do the same things. Selecting an existing sheet is limited to administrators; someone in another role who can edit forms will see a notice and can create a new sheet.
Connecting the first sheet from WPForms Pro
You need WPForms Pro or a higher level, on its latest version, and a Google account with Editor access to the sheet. With the add-on active:
- Go to WPForms, Settings, Integrations and expand Google Sheets.
- Click Continue with Google, choose the account and authorize access.
- In the form builder, open Settings, Google Sheets and click Add New Connection.
- Give the connection a nickname, visible only to you.
- Create a new sheet or select an existing one.
- Assign columns and fields, save and submit a test entry.
Sending data to a CRM or from another builder
If your forms live in another builder, Everest Forms Google Sheets does a similar job and allows several connections on one form to send data to several sheets.
If the destination is a CRM or an API, WPForms Webhooks sends the data to external URLs with the method, format and headers you choose, although assigning the fields the API expects is up to you. And Uncanny Automator Pro has Google Sheets among its external services, along with Mailchimp, Slack or Zapier.
When the sheet does not behave as you expect
Can I type in the sheet by hand?
Yes. What you write is kept and new entries are added after the last row.
Can I add it to a form that is already published?
Yes, the connection is created in the settings of any form. From then on its new entries are sent.
Why does my sheet not appear in the list?
Check that the connected account has Editor access. The list is cached and updated every 10 minutes, so a newly created sheet may take a while to show up.
Why does a column I deleted still appear?
WPForms caches column names, and a deleted one can stay visible for 15 minutes after reconnecting.
