About wpForo Groups Plugin Integration

For people who already organize members with Groups and want the forum to follow

Setting up a members-only forum usually fails in the same place: your people are already sorted into groups, but the forum has its own permission system and you end up maintaining two lists that don't talk to each other. wpForo Groups Plugin Integration joins them: the groups you create with the Groups plugin decide who gets into each wpForo forum and what they can do there.

  • It fits if you already use Groups (or plan to) to manage your user groups and you want their forums to follow the same logic.
  • It doesn't fit if you don't want to depend on Groups: this is a wpForo add-on and needs that plugin installed, with the groups already created, before you use it.
  • It doesn't fit if you expect to hide a whole category with a single setting: restrictions are applied forum by forum.

A different access level for each group, forum by forum

In the wpForo admin, when you edit a forum, you assign each group the access it should have. A student group can get read-only access (seeing topics and posts without being able to write), while the teacher group gets standard access: reading, starting new topics and replying.

If those two levels fall short, you can create custom accesses with whatever set of permissions you need and hand them out among your groups.

Restricting a category doesn't hide the forums under it

Here is the mistake that costs the most in a private community: you think you've closed an area and a forgotten subforum stays open. In this add-on restrictions are not inherited. If you block a category (the parent forum), the forums it contains are not blocked as a result; you have to restrict each one separately.

What the restriction does do is cover every topic in the forum it is applied to: anyone outside the group sees none of them. When you finish the setup, log in as a user with no group and walk through the whole forum to check that nothing that should be closed is left visible.

Groups takes precedence over wpForo usergroups

wpForo already has its own user groups with default permissions. When using this add-on it helps to understand who wins: the access granted by a Groups group takes priority over the usergroup restrictions. If someone belongs to a group with access to a forum, they get in even if their usergroup has access denied.

That's why the sensible approach is to set No Access for every usergroup except administrators and moderators, and let Groups grant the rest. That way you don't depend on every user having the right usergroup.

Common questions from people building a paid or student forum

Do I need the Groups plugin?

Yes. This is a wpForo add-on and needs Groups installed, with the groups already created. It doesn't work without wpForo either.

Can I protect a category and everything under it with a single setting?

No. Each forum is restricted individually, because the restriction doesn't pass from parent to children.

Can I give some people read-only access and others the right to participate?

Yes, by assigning each group the read-only access, the standard one, or a custom one you create yourself.

Can I use it to send a private message to a whole group?

The add-on deals with access to forums, not messaging. If you need to write to an entire group, don't take it for granted: confirm it before buying.
