About Gravity Forms Zapier

If Zapier cannot reach your site, no Zap connects

You build a form that should create a task in your project manager and a row in your spreadsheet. On your site, password protected or installed on a local machine, nothing arrives. The form is fine; it is Zapier that cannot get in.

The connection between Zapier and Gravity Forms uses your site's REST API, so your website has to be reachable from the internet for any automation to work.

The Gravity Forms Zapier add-on connects your forms with other services without writing code. A form can serve as a trigger, so each submission starts a Zap, and also as an action, so data from another app creates a new entry in the form. Most of the configuration happens in the Zapier dashboard, not in WordPress.

How data moves between the form and Zapier

  • Trigger: a Zap starts every time someone submits a form.
  • Action: data from another app creates a new entry in Gravity Forms.
  • Feeds: each form has feeds to Zapier, and in each feed you can enable conditional logic.
  • Admin Labels: feeds can send the fields' Admin Labels.
  • Lists and products: data from List and Product fields reaches Zapier as arrays.
  • Test data: there is a code snippet that pulls real submissions from the entries table to use when testing a Zap.

The add-on does not replace the specific official integrations, such as those for Mailchimp or Campaign Monitor: it complements them. Among the apps it connects to are Pipedrive, Keap, Microsoft Dynamics 365, Asana, ClickUp, Monday.com, Notion, Google Sheets, Airtable, Excel, Pardot, Drip, Klaviyo, Telegram, Gmail, Microsoft Teams and AI tools such as OpenAI, Claude and Jasper, which can generate responses or summarize submissions.

A quote request Zap

A quote request form can send each submission to Zapier, and from there create a row in Google Sheets or a task in your project manager. With conditional logic on the feed, only the submissions that meet a condition reach the Zap. Think of it as a base outline and tweak it your way.

If your form has list or product fields, remember that they travel as arrays, so the next step in the Zap has to know how to read them.

Costs and conditions on the Zapier side

  • Zapier charges by volume and usage, with a free plan available, and this add-on does not cover that cost.
  • An SSL certificate installed and configured on the site is required.
  • The website must be accessible from the internet, because Zapier's authentication to Gravity Forms uses the REST API.
  • Problems inside the Zapier dashboard, in a Zap's setup or in its behavior may need Zapier support.

Connecting the site to Zapier

You need Gravity Forms, a Zapier account and an SSL site reachable from the internet.

  1. Install and activate the add-on.
  2. Under Forms, Settings, REST API, create an API key for Zapier and save the Consumer Key and Consumer Secret.
  3. In Zapier, under My Apps, create the Gravity Forms connection using those credentials.
  4. Create the form you are going to connect.
  5. Create the Zap that uses the Gravity Forms connection.

Automations without Zapier

If you prefer the automation to live inside WordPress, look at Uncanny Automator Pro or AutomatorWP. To send submissions to another service through webhooks there is AutomatorWP Webhooks. The base form plugin is Gravity Forms.

If you are connecting Gravity Forms to Zapier

Can it create entries in Gravity Forms from another app?

Yes. It uses data from another app to create a new entry in a form.

Do I need a Zapier account?

Yes. Zapier has a free plan and paid plans based on volume and usage.

Does it work on a local site?

The website must be accessible from the internet so Zapier can authenticate through the REST API, so a local machine or a closed environment will not work.

Can I send only some submissions to Zapier?

Yes. Each feed supports conditional logic.
