About Gravity Perks Notification Scheduler

Gravity Forms sends its notification the moment someone submits the form. That works for confirming a contact, but not for reminding someone of an appointment three weeks away, wishing them a happy birthday or warning them that a subscription is about to expire. For that you end up copying dates into a spreadsheet or paying for a separate email tool.

The email that matters is rarely the first one

If you run a business built around dates (events, yearly sign-ups, renewals, sales follow-ups), you probably polish the instant confirmation and forget what comes next. That is where renewals and attendance get lost. Gravity Perks Notification Scheduler adds a setting called Schedule to each Gravity Forms notification, with three ways to decide when the message goes out: after a delay, on a specific date, or relative to a date the user fills in on the form.

Three ways to schedule with Notification Scheduler

If you need follow-up after submission

Choose a delay in minutes, hours, days, weeks, months or years from the notification event, usually the form submission. It accepts whole and decimal numbers. Since a form can have several notifications, you can chain them with different timings and build a welcome or lead-nurturing drip campaign without another email service.

If you are working with a one-off event or promotion

Choose the date option and set a day and time. It suits one-off event reminders, notices to registered volunteers, ticket sales or the start of a sale.

If the timing depends on what the user enters

If the form has a date field, you get the option to send before or after that value. It works for birthdays, anniversaries, card or subscription expirations and reminders ahead of an event. If the user corrects the date when the entry is edited, the notification is rescheduled.

Repeat every year, month, week or day

When you enable Repeat, the notification recurs at the interval you choose, which can be custom. By default it never ends, but you can set an end after a period of minutes, hours, days, weeks, months or years. Each recurrence is scheduled right when the previous one is sent, so future ones do not appear in the list of pending notifications.

It also works with notifications triggered by Gravity Forms events, including those from third-party add-ons. For example, approvals and rejections in GravityView or approved and rejected workflows in Gravity Flow.

Managing what is already scheduled

From the entries page, when you open an entry you see its scheduled notifications and can delete a pending one so it does not go out. If you change a notification's schedule and want it applied to existing entries, there is a reschedule box in the entry detail. For many entries at once there is a bulk rescheduler, but it has to be enabled with a hook (gpns_enable_rebuild_batcher), so it requires touching code.

A date that has already passed is not sent

  • If the calculation for a notification lands at a time earlier than now, it is ignored: it is not sent and does not appear in the scheduled list.
  • Notifications with a delay, when rescheduled, count from the original submission and not from the moment you reschedule.
  • It is an add-on for Gravity Forms: without Gravity Forms it does nothing.
  • It is not a booking plugin with a calendar and it does not handle payments; it only decides when a Gravity Forms notification goes out.

Frequently asked questions

Can I send a reminder before the date the user chooses?

Yes, with a date field in the form you can schedule before or after that value. If the resulting moment has already passed, it is not sent.

Is it good for a drip campaign?

Yes: add several notifications to the same form with different delays.

Can I cancel a notification that is already scheduled?

Yes, from the entry you can delete each pending notification.

Does it work with notifications from other add-ons?

It integrates with any Gravity Forms notification event, including those generated by third-party add-ons.
