About Waiting List Addon for MEC

When the event sells out, demand does not disappear

You mark an event as «sold out» and the interested people who arrive late go somewhere else. A week later, two attendees cancel and you are left with empty seats nobody knows about. Money and audience are lost over a simple question of order.

Event organizers usually measure sales, but rarely measure the people who wanted in and could not get a ticket. Waiting List Addon for MEC turns that invisible demand into an orderly queue, so each freed spot is offered again instead of staying empty.

Waiting List Addon for MEC on a sold-out event, step by step

Imagine a workshop with a fixed capacity. This is how the case plays out with the addon, which requires MEC Pro to work (it is not a standalone plugin).

Step 1: the booking form is replaced by the waiting list form

When tickets run out, the booking form is replaced by a waiting list form. You build it with the addon's own form builder and can enable it on any event. You can also apply a reservation limit, so nobody hoards spots.

Step 2: the person verifies and confirms their place in the queue

The addon includes automatic settings for the verification and confirmation status, plus ready-made emails with placeholders for each phase: verification, confirmation, spot offer, reminder, expiry and cancellation. That way you do not write every message by hand.

Step 3: a spot frees up and the offer moves to the next person

When someone cancels, the first person in line receives a time-limited offer link with a visible countdown. If they do not claim it in time, the spot automatically rolls over to the next person. The queue order is respected, and you do not have to call anyone.

One detail worth checking in the demo before launching a paid event: how the booking is completed when someone accepts the offer, and whether that flow fits the way you collect payment.

Step 4: the attendee manages their own request

Each person can view and cancel their requests from a front-end page called «My Waiting List». You, on your side, manage the people waiting just like regular MEC bookings.

Common questions before opening a waiting list

Does it work without MEC Pro? No. It is an add-on for MEC Pro and does not work on its own.

Can I use it on only some events? Yes, the waiting list form is set up event by event.

What happens if someone does not respond to the offer? The offer expires and the spot is automatically offered to the next person in the queue.

Can I keep it from filling up with junk? It includes a honeypot field, IP and email rate limits, and duplicate detection.

Is it useful for events with few cancellations? It adds less. Its value is in events that fill up and have last-minute dropouts.

A dashboard that shows how many people are left out

The most useful thing when deciding whether to repeat an event or open another session is seeing the queue in numbers:

  • Queue dashboard: queue depth, conversion rate, average wait time, and expiry and cancellation rates, with KPI cards and interactive charts.
  • Audit trail: every state change and every email is logged, along with an immutable snapshot of what the person submitted when signing up.
  • Privacy tools: data export and erasure, automatic anonymization and configurable retention policies. They are tools, not a guarantee of regulatory compliance on their own.
