About Gravity Forms Trello

Briefs that get lost between the inbox and the team

A web form that only sends an email usually ends the same way: the message sinks into a shared inbox, nobody knows who picked it up, and the client waits. Gravity Forms Trello is a Gravity Forms add-on that turns every submission into a Trello card, so the request shows up where the team already works.

In an agency or a service team, the delay is rarely in the work itself: it is in the gap between «the request arrived» and «someone took responsibility». That gap is what this add-on tries to close.

A client brief, from form to card

Picture a project request form at an agency. Here is how it plays out with Gravity Forms Trello:

Step 1: choose the board and list

You decide which Trello board and list each submission lands in. If you have one form for quotes and another for support, each can point to a different place, so nobody has to resort things by hand.

Step 2: labels, due date and owners

The card is created with the Trello labels you configure, a due date and the assigned members. The brief arrives with an owner and a deadline, instead of waiting for Monday's meeting to be handed out.

Step 3: attached files

If the client uploads a logo, a PDF or a requirements document, the files are attached to the card. All the material stays in one place and nobody has to dig through email to find who sent what.

Step 4: filter with conditional logic

Not every submission deserves a card. With Gravity Forms conditional logic you can create the card only when a condition is met, for example when the client picks a specific project type. That way the board does not fill up with inquiries that are not tasks.

One limit to keep in mind: the flow goes from the form to Trello. The work that follows on the card (comments, moving between lists, closing it) happens in Trello, not in WordPress.

What you need before installing Gravity Forms Trello

  • Gravity Forms installed: this is an add-on and it does not work on its own.
  • A Trello account with a board and a list already created to receive the cards.
  • A form designed around tasks: what you ask in the fields (who, what, by when) is what ends up on the card, so design the form with the follow-up work in mind.

Frequently asked questions about Gravity Forms Trello

Can I send different forms to different boards?

Yes. You choose the board and list where cards are created, so each form can go to its own workflow.

Can I assign members and add labels automatically?

Yes. You can assign members, apply labels, set due dates and include the submission details on the card.

What happens to files the user uploads?

Files uploaded through the form are attached to the Trello card.

Can I stop every submission from creating a card?

Yes, using Gravity Forms conditional logic: only submissions that meet your conditions generate a card.

When Gravity Forms Trello is not what you need

If your team does not use Trello, or manages tasks in another tool, this add-on is of no use to you. It also makes little sense if you get two or three messages a month that you already handle by email without trouble. It shines for teams that receive requests regularly (leads, support requests, project briefs) and want each one to arrive already assigned, labeled and with its files. Before deciding, try in the Gravity Forms demo how the connection to your board is set up.
