About Ninja Forms File Uploads

When documents arrive as loose emails and nobody knows whose they are

You ask for a resume, a photo of the damage or a copy of the contract, and what you get are loose attachments in an inbox, with names like "scan001.pdf" and no way to tell which request they belong to. Ninja Forms File Uploads adds a file upload field to your Ninja Forms forms, so each document arrives inside the request it belongs to rather than afterwards, in a separate email.

The people who install this usually run a business where paperwork is the job: recruiting, insurance, scholarships, client onboarding or maintenance. Their real problem is rarely receiving the file, but organizing it, finding it months later and keeping out anything that shouldn't be on the server.

How the upload field behaves in each type of business

If you receive applications or requests

You can limit a field to PDF, DOC and DOCX, and ask for a resume, cover letter and portfolio in the same application. With the naming rules, each file can be named after the applicant and the date, and saved in folders by year or month.

If you handle claims, incidents or maintenance

The person reporting uploads photos, receipts or reports along with their description. You can attach those files to the notification email, so the team sees them without logging into WordPress or the storage.

If you onboard new clients

Signed contracts, ID documents and briefs arrive in a single submission. If the data is sensitive, it makes sense to send it to private cloud storage instead of leaving it in the media library.

What you control on each file before it arrives

  • Allowed types: you define a list of accepted extensions per field. Anything not on the list is rejected.
  • Minimum and maximum size: you prevent huge files from consuming server resources.
  • Number of files: you decide how many each field accepts.
  • Renaming and folders: use data from the form fields, such as the name or the submission date, to name and sort.
  • Drag and drop: the person filling in the form drops the file into the field or browses for it on their device.

The file type is validated as soon as the file is chosen, so the person sees right away if it isn't valid and doesn't wait for the upload to find out. It is also checked on the server, to stop malicious uploads.

Media library, Google Drive, Dropbox or Amazon S3

You can save to the WordPress library, Google Drive, Dropbox or Amazon S3, and send each form to a different destination. The advantage of the cloud is that large files don't weigh on your hosting and aren't served from WordPress's predictable paths: on Drive or Dropbox only people with access, or those you share with, can see them.

If you prefer the media library, you can restrict access by user role. For sensitive documentation, private cloud is usually the more prudent option. If you collect personal or health data, handling it properly is your responsibility and doesn't depend on the plugin.

It needs Ninja Forms and doesn't replace document management

It is an add-on: without Ninja Forms installed it does nothing. It adds the upload field, but it doesn't review the content of documents, sign them or manage approval workflows. There is also no artificial limit on submissions, although space is set by your hosting or your cloud service. Connections to Drive, Dropbox or S3 require you to have an account with them.

Frequently asked questions about Ninja Forms File Uploads

Can I accept only PDF on one form and any format on another?

Yes. The list of extensions is defined per field, so each form has its own rules.

Can I receive the files by email?

Yes, you can attach the uploaded files to notification emails, for any file type the form accepts.

Does it allow uploading executables?

WordPress blocks executables such as .exe, .bat or .sh by default, and you also decide the list of valid types.

Can I change the file names on upload?

Yes. You define rules that use form data, such as the applicant's name or the date, and you can organize files into custom folders.

Before deciding, look at these two details

Think about where to store files depending on how sensitive they are, and which list of extensions each form needs. With those two decisions made, the plugin handles the rest of the organizing without manual work.
