About Gravity Perks Email Users
Your recipient list is entries, and one person can have several
Someone who bought a ticket for your event filled in the form again the following week to buy another. You have an important notice to send to every attendee and the list, in your head, has one row per person.
For this addon, each form entry is a recipient, so someone who submitted the form three times receives three emails unless you prevent it.
GP Email Users, by Gravity Perks, sends personalized emails to people who filled in a Gravity Forms form. It takes the addresses from the entries and sends the message through WordPress, with a preview of each email, a draft you can resume and filters by conditions.
What it lets you write and to whom
- Selection by conditions: limits recipients by entry values, such as the product purchased, survey answers or age.
- Rich text editor: formatted text, links and images.
- Merge tags: work in the subject, message, from, reply-to and BCC, and bring data from the entry.
- Unsubscribe: the
{gpeu_unsubscribe_url}and{gpeu_unsubscribe_link}tags insert the unsubscribe address or an HTML link. - Preview of each recipient, with their email already personalized, before sending.
- Drafts to continue later.
It serves follow-up surveys, notices to ticket buyers, updates for donors and messages to participants of earlier editions.
A notice to the attendees of an event
A form sells tickets and stores the chosen product. In Forms, Email Users you pick that form and the email field, write the subject and the message with a merge tag for the name, and limit the send with the purchased product condition. At the end you add an unsubscribe tag. This is one idea of use; adjust it to your site.
What the sending covers and what to watch
The addon uses native WordPress mail. It is lightweight, and for thousands of emails a more robust sending service is advisable. There is also a limit on the maximum number of emails, meant to protect reliability, which can be changed with a filter.
Only conditions filter recipients. To write to specific entries, there is another path: the Send Manual Notifications snippet, with the Resend Notifications bulk action. To avoid duplicates there is a snippet that leaves one email per address.
Access depends on the gravityperks_gwemailusers capability. The administrator role gets it on its own, but with a role management plugin you have to add it by hand to the relevant role.
Sending your first email in four steps
You need a Gravity Forms form that has an email field, because the addresses come from there.
- Install and activate the addon on a site with Gravity Forms and Gravity Perks.
- Open Forms, Email Users and choose the form whose participants you want to write to.
- Select the email field, write the subject and message and click Save Draft & Review Emails.
- Review the emails and click Send Emails.
Two paths to the same recipients
To schedule a form's notifications over time, look at Gravity Perks Notification Scheduler. If what you want is to move the people who fill in the form to a newsletter list, there is Newsletter Gravity Forms.
Repeated entries and other specific cases
What happens if someone submitted the form several times?
By default they receive one email per entry. A code snippet leaves a single email per address.
Can I pick specific entries?
Only by conditions. For individual entries there is another path, the Send Manual Notifications snippet with Resend Notifications.
Does it work for thousands of emails?
It is lightweight and uses WordPress mail. For large volumes a more robust sending service is advisable.
Why do I not see Email Users in the menu?
Check the gravityperks_gwemailusers capability, which a role plugin may be restricting.
