About Latepoint Payments Braintree Addon
The appointment you enter yourself has to be charged too
Your booking form charges without you doing anything: the customer picks the time, pays and gets the confirmation. Then the phone rings, someone asks you for an appointment and you create it from the admin panel. That booking never went through the payment step, and it sits on your list until someone remembers to chase it.
An appointment business has two doors, the website and you, and each one needs its own path to the money. When choosing a gateway it is easy to think only of the first.
Payments Braintree connects LatePoint with Braintree to accept payments on your site. Besides charging during booking, it works with invoices and payment links, which are the route for those hand-made appointments.
What Braintree adds to your calendar
- Payments with Braintree as a processor inside LatePoint.
- SCA and 3D Secure: it accepts payments with strong authentication.
- Invoices: compatible with the LatePoint invoice system.
- Payment links: compatible with the payment requests you send from the admin panel.
Braintree is one of the processors LatePoint Pro adds, as are payment links and invoices.
The payment link nobody receives
Here is the trap of the second door: without a workflow, the request is created but the customer receives no email. Set it up once and then every appointment from the panel can carry its link:
- In LatePoint » Automation » Workflows, create a workflow with the Payment Request Created event.
- Add an action that emails the customer, edit the template and save.
- In Orders, add an order with service, agent, customer, date and time.
- In Balance & Payments, turn on the payment request and choose full price, deposit only or a custom amount.
- Set the due date and create the order.
The workflow then sends the unique link, and the customer can open it and complete payment later. The request can only be created when adding a new booking from the admin panel.
Invoices according to how each customer pays
Invoices are turned on in LatePoint » Settings » General, Invoices section. What gets generated depends on the payment option:
- Full payment: one invoice, marked paid once the charge completes.
- Deposit: a deposit invoice and another for the balance, due on the appointment date.
- Pay later: one invoice for the total, open until the money arrives.
From an open invoice you click Email and the customer receives a link to view and pay it online. That is the route for bookings that already have an invoice. Zero-amount orders get no invoice unless you turn on Create invoices for free bookings.
Turning on the processor and testing a charge
You need LatePoint with this add-on and a Braintree account. The add-on does not create that account or replace LatePoint, and the fees on each charge depend on your agreement with Braintree.
- Install and activate the add-on.
- Go to LatePoint » Settings » Payments, where the new processor appears.
- Turn it on and add your Braintree account details.
- Make a booking from the form and check the payment step.
- Create an appointment from the panel and send yourself the link to test the second door.
Test a refund too: in LatePoint they are issued from the order's Transactions section if the processor supports it. If it does not appear, do it directly in Braintree.
When your account sits with another gateway
If you already charge through another gateway, LatePoint has add-ons for several. Payments PayPal connects by logging in to your Business account, without copying credentials. Payments Square asks for the Location ID, useful if Square is already your physical till. Payments Mercado Pago handles Mercado Pago's Checkout Pro in several Latin American countries.
If you do not have the base yet, start with LatePoint and the Pro add-ons.
Partial payments and phone appointments
Can I charge only part at booking?
LatePoint supports full payment, a deposit with the balance later, or pay later. With a deposit, the balance sits in an invoice due on the appointment day.
Does it work for customers who must authenticate with their bank?
Yes. The add-on supports SCA and 3D Secure payments.
How do I charge an appointment created before installing this?
Payment requests only come with a new booking from the panel. If that appointment already has an open invoice, email it.
Does the customer get the link just by my creating the order?
Only if the workflow with the Payment Request Created event exists.
