About Wicked Folders Pro

A shared folder lasts until someone rearranges it

You carefully sort the site's media. A week later, a writer creates their own folder, a colleague moves another and a "misc" folder appears, full of loose files. The tool still works; what failed was the agreement on who could change the structure.

As soon as more than one person works on a site, organizing stops being tidying and becomes handing out permissions. Wicked Folders Pro includes that layer: you decide by role who creates, views, edits, deletes or assigns folders, and which part of the structure belongs to whom.

It also takes folders beyond the media library, to users, plugins, orders and forms, on the list screens where WordPress only offers a long table.

Six permissions to decide who runs each structure

Policies are created in the plugin settings. Each one defines what each role can do and is assigned to a collection, which is the set of folders for a content type, such as Pages. The permissions are these:

  • Create folders: whoever creates one is its owner.
  • View others' folders: if turned off, each person sees only their own.
  • Edit others' folders: rename, clone or move folders owned by others.
  • Delete others' folders.
  • Assign in others' folders: add or remove items.
  • View others' items: if turned off, each person sees only what they created or uploaded.

A collection takes one policy, and with no policy there are no restrictions. There are also private folder structures, and filters so a developer can adjust these checks.

Folders outside the media library

  • Media: drag files, move them in bulk, browse by folder when inserting an image and filter by extension with a dynamic folder.
  • Users and plugins: their admin screens can be grouped too, with a dynamic folder by role for users.
  • WooCommerce: products, orders, coupons and reviews.
  • Forms and tables: Gravity Forms with its entries, WPForms, Everest Forms and TablePress, plus Restrict Content Pro.
  • Content: pages, posts and custom types, with folders by author, date, category or page hierarchy.

The folders are virtual, and it pays to know what that means

No file changes place. Wicked Folders does not touch the uploads directory, so it will not reorganize the server or tidy what you see over FTP. In return, moving an item does not alter its address.

An item can sit in several folders: hold Shift while dragging to assign it without removing it from the current one. Deleting a folder does not delete its contents, and deactivating or uninstalling the plugin does not remove the folder data.

Policies govern folders and their contents for the people working on the site. Protecting pages or downloads from visitors is not among its features.

How to set up a folder arrangement that holds

  1. If you are coming from another folder plugin, run the import before creating anything.
  2. Create the main structure of one collection by hand, for example Media.
  3. Go to Settings, Wicked Folders, Permissions, and create a policy where everyone views and only administrators create, edit and delete.
  4. Assign that policy to the collection.
  5. Log in with a writer account and check what it can do.

It works with the block editor, Divi, Elementor, Beaver Builder and Visual Composer, as well as multisite, WPML and Polylang.

If all you need is media

HappyFiles Pro also keeps folders without moving files, includes role permissions and imports from other plugins. FileBird focuses on media, keeps the file path and lets you browse its folders from more than twenty page builders.

Real Media Library uses virtual folders, and its add-on Real Physical Media is the option for taking that structure to disk, address changes included.

Questions on folders and permissions

Do my image addresses change?

No. The folders are virtual and the uploads directory is not modified.

Do I lose the folders if I uninstall it?

The data is not deleted when the plugin is deactivated or uninstalled.

Can a file be in two folders?

Yes. Drag with Shift held down or tick the folders when editing the item.

What happens if I create no policy?

There are no restrictions: anyone with access to that content type can manage its folders.

Can each user have their own folders?

Yes, with private structures, or by turning off the view of others' folders in a policy.
