About GetPaid > Cheque Payment Gateway

A cheque in hand is not yet money in the account

The customer chooses to pay by cheque, receives your instructions and sends it. The envelope arrives and someone on the team, with good intentions, marks the invoice as paid. Then the bank rejects it, and the invoice still says everything is in order.

Collecting by cheque has two separate moments: receiving the paper and seeing the money deposited. Anyone selling this way needs a clear internal rule about which of the two closes the invoice. The recommended sequence is simple: you receive the cheque, deposit it successfully at your bank and only then mark the invoice as paid.

Cheque Payment Gateway is the GetPaid add-on that adds cheque as a payment method at checkout and shows the customer your instructions. Tracking the money stays in your hands.

Five fields that define the payment option

  • Activate: turns on cheque payments on your site.
  • Checkout Title: the title the customer sees at checkout.
  • Description: the description of that option.
  • Priority: this gateway's priority on the checkout page.
  • Instructions: the directions you want to give the customer, such as payment conditions and time-frames.

It also includes compatibility with product upsells and downsells, and sends the invoice notification when checkout is submitted.

The Instructions field does the work of your payment policy

On a card gateway, the process explains almost everything by itself. With a cheque, the only guide the customer gets is what you write here. Treat that field as a small policy and answer these questions in it:

  • Who the cheque is made out to.
  • Which address it goes to and which invoice reference should accompany it.
  • Within what time-frame you expect to receive it.
  • When you consider the payment good.
  • What happens with a rejected cheque and how a refund works.

Rejection and refund conditions are exactly what is advised to be put in writing. Having them here from the start saves you arguing them later with a specific case in front of you.

Manual from start to finish, by design

GetPaid classifies these payments as offline: the money is collected separately and the invoice is marked as paid by hand. Its limits follow from that:

  • Among its features there is no connection to your bank or funds check.
  • Marking the invoice as paid is a task for your team.
  • If you sell something that depends on payment, that part waits until you take that step.

For developers, GetPaid fires the wpinv_complete_payment action after an invoice is marked as paid, a useful point to hook your own tasks.

Four steps in the gateway settings

You need GetPaid installed and this add-on active. Without it, the options do not appear.

  1. Go to GetPaid, Settings, Payment Gateways, Cheque Payments.
  2. Tick Activate.
  3. Fill in the title, description, priority and instructions.
  4. Save the settings.

Then place a test order: see what the customer sees, which status the invoice takes and which emails go out. And check which is your default gateway, chosen in the general gateway settings.

Bank transfer and online gateways for GetPaid

GetPaid itself includes Pre-Bank Transfer, with the same approach: you tell the customer to send you a transfer and mark it as paid later. For online payments there are GetPaid Mollie Payments, with a test mode, and GetPaid Square Payments, with recurring payments for subscriptions. If your customer needs the document in their folder, GetPaid PDF Invoices attaches the PDF invoice to the emails.

The rejected cheque and other payment cases

When do I mark the invoice as paid?

When you have received the cheque and deposited it successfully into your bank account.

Does the plugin check whether the cheque has funds?

No. That check happens outside WordPress, between you and your bank.

Does it work without GetPaid?

No. It is a GetPaid add-on and its settings live inside that plugin.

Can I change the text the customer sees?

Yes. Title, description and instructions are edited in the gateway settings.

Can I order this option against other gateways?

Yes. The Priority field sets its priority on the checkout page.

Where do I explain what happens with a rejected cheque?

In the Instructions field, along with your refund policy.
