About Get Paid PDF Invoices

Accountants keep files, not links

You took the payment with GetPaid, the invoice exists and the customer can open it from their history. Even so, at the end of the month the same message arrives: "can you send me the invoice as a PDF?". And someone on your team has to go in, find it and sort it out by hand.

An invoice does not end when it is paid. That is where its second life begins, in the folder of whoever keeps the customer's books, and that folder fills up with files, not with links to each supplier's website. What is an invoice already issued for you remains a pending task for them until the document is saved.

PDF Invoices closes that gap and nothing more. The file goes out attached to the invoice email, without anyone asking for it or preparing it.

The three things it adds to GetPaid

  • PDF attached to emails: it automatically attaches the PDF invoice to the invoice emails your customers receive.
  • Download button: an option to show a button for fetching the PDF in the invoice history.
  • Header and footer messages: an option to print a message at the top and bottom of the PDF.

What to write in the two text fields

The header and footer are all the customisation you configure, so they deserve some thought. Each field is a single text for every invoice, which means it should only carry what holds true for any customer.

  • Header: what you want read first, such as the trading name or a brief note about the billing currency.
  • Footer: billing contact and payment terms, so a query reaches the right address.
  • Bank details: if you accept transfers with GetPaid, the payment is marked by hand later; leaving the account in the footer saves sending it again.

Avoid dates, promotions or anything that expires. A text forgotten in the footer repeats on every invoice that follows.

Where its job ends

It does not work alone. It is a GetPaid add-on, and its settings only appear with it installed and activated.

It does not create the invoices. Items, payment forms, subscriptions, taxes and VAT belong to GetPaid. The add-on takes the invoice and delivers it as a PDF. Quotes are not its job either: they belong to another add-on, GetPaid Quotes.

It is not a document designer. Among its features there is no visual template editor, no credit notes, no packing slips and no bulk PDF export.

It is not e-invoicing. Among its features there are no structured invoice formats and no submission to a tax authority.

Requirements, installation and a first test

It needs WordPress 6.2 or higher and the GetPaid plugin 1.0.0 or higher. After that, the path is short:

  1. Install and activate PDF Invoices with GetPaid already running.
  2. Go to GetPaid > Settings > PDF Invoices and write the header and footer messages.
  3. Create a test invoice to your own email address and open the attached PDF.
  4. Check how it looks on a phone and when printed, and review the download button in the invoice history.

Other invoice PDFs depending on where you sell

This add-on only makes sense if you take payments with GetPaid. If you sell with WooCommerce, PDF Invoices & Packing Slips Pro adds credit notes, proformas, receipts and independent numbering per document type.

Other platforms have their own pieces: MemberPress PDF Invoice on MemberPress sites and Bookly Invoices on Bookly booking sites.

And if what GetPaid lacks for you is a way to get paid, GetPaid Square Payment Gateway connects to Square and works only in the United States, Canada, Australia, Japan and the United Kingdom.

Questions about GetPaid PDF invoices

Does the customer have to ask for the PDF?

No. The add-on attaches it to the invoice emails, and you can also offer a download button in the history.

Can I change the invoice design?

The settings it offers are the header and footer messages. Among its features there is no template editor.

Does it work with WooCommerce?

It is a GetPaid add-on. WooCommerce has its own specific extensions.

Does it replace GetPaid?

No. It needs GetPaid installed and active, because the invoices come from there.

Does it send invoices to a tax authority?

It generates a PDF. Among its features there are no structured formats and no submission to a tax authority.
